INVENTORY SPECIALIST

Reporting To: Laboratory Manager

Location: VIZIA HQ - Alpharetta, GA

VIZIA Diagnostics is a stand-alone, surgical pathology laboratory serving clients nationwide. Our team is focused on delivering best-in-class service excellence in diagnostic patient care.

We are a subspecialty model dedicated to the practice of gastrointestinal pathology with GI subspecialty-trained and experienced pathologists and histotechnicians focused exclusively on GI specimens to ensure the highest level of quality. VIZIA is a growing company with potential advancement into other surgical pathology specialties, including a more robust genitourinary practice.

In 2023, VIZIA was formed through an acquisition from Boston Scientific Corporation. With more than 30 years of operational expertise and advancements in diagnostic services, we are proud of what we have accomplished, but we are even more excited about what we will achieve together.

Position Summary:

The Inventory Specialist plays a crucial role in maintaining the smooth operation of the office and laboratory by planning, coordinating, and purchasing all necessary supplies. This position involves a combination of administrative tasks, vendor interaction, and organizational responsibilities. The Inventory Buyer/Planner needs to maintain a strong inventory control policy and ensure inventory activities are a key driver of quality, cost efficiency and best practice within the organization.

* This position requires the incumbent to be on-site five days per week at the Alpharetta, GA. location to perform the duties and responsibilities outlined below.

Specific Responsibilities:

  1. Laboratory Supplies and Inventory:
    1. Monitor laboratory supplies and reorder as needed to ensure the availability of necessary materials.
    2. Monitor tracking of all laboratory shipments to ensure time delivery.
    3. Conduct general inventory reporting: Cycle-counting, balance on hands reports, daily consumption transactions, physical counts, expiration date checks.
    4. Review and file Certification of Analysis from StatLab
    5. Work with Accounts Payable and Receiving to resolve discrepancies in receipts and invoices.
    6. Drive cost savings and quality improvement projects.
    7. Train employees on Inventory Management Processes.
  2. Customer Supplies and Inventory:
    1. Order customer supplies based on recommendations from Customer Care Team and IT Team.
  3. Laboratory and Customer Supply Vendor Relationships:
    1. Effectively communicate with supply vendors in person, over the phone, and through email.
    2. Develop and enhance relationships with vendors.
    3. Serve as primary contact and foster positive relationships with vendors.
    4. Establish and maintain secondary vendors for supplies.
  4. Supplier Quality:
    1. Ensure inventory processes are compliant with CAP, CLIA, CLEP, and ISO 15189 guidelines.
    2. Maintain policies and procedures.
    3. Conduct annual Supplier Assessments.
    4. Maintain Approved Vendor List and Material List.
    5. Conduct Quarterly Business Reviews with top 3 vendors.


Qualifications & Experience:

  • High school diploma or equivalent; additional qualifications in office administration or related fields are a plus.
  • Previous experience in inventory management.
  • Experience with FishBowl software.
  • Proficient computer skills, including Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills and a professional demeanor.
  • Ability to handle a fast-paced and dynamic work environment.
  • Organizational and time management skills.
  • Attention to detail and problem-solving skills.
  • Ability to maintain a positive attitude and work well in a team.


Summary:

The Inventory Specialist is a vital member of the operational team and is responsible for ensuring that the laboratory and office has all the necessary supplies needed to maintain operations. This role requires a strong understanding of the inventory management process, strong organizational skills, communication abilities, and attention to detail.


Time Commitment:

The role is a full-time onsite responsibility.
