Job Description:  


This position is overseeing all administrative team members within the psychological testing services and include the following tasks:  


  • Foster a welcoming environment by greeting guests, answering calls, directing visitors, and coordinating workflow within the office 
  • Demonstrate a positive attitude for greeting guests in a friendly and warm manner upon arrival to the office or through the phone 
  • Resolve customer concerns or issues and direct them to the appropriate team member while maintaining kindness and patience
  • Enter/verify all patient demographic information accurately and consistently 
  • Collect and process co-pays or account payments
  • Assist in conveying financial quotes for Testing Services
  • Schedule new and existing patients
  • Perform reminder phone calls, text messages, and or emails
  • Optimize efficiencies within the psychological testing department 
  • Manage psychological testing administrative staff along with psychological testing assistants  
  • Coordinate and process incoming referrals
  • Organize multiple calendars and tasks
  • Patient tracking
  • Submit prior authorizations
  • Maintain a clean and HIPAA compliant office environment 

Position also includes the following tasks or task delegation: 

  • Scan in the psych testing orders and accurately linking them to patient charts 
  • Upload testing assessment into patient chart
  • Fax all completed testing assessments to the referring provider

Hours: 8:00 AM - 5:00 PM 40 hours/week 

Experience Required: 

  • 3-5 years clinical office experience required 
  • 2+ years management experience preferred
