Position Summary & Objectives

The Clinic Manager will direct the day-to-day operations of their specific therapy clinic. This position is 70% clinical and 30% administrative. The manager is expected to work closely with physical (PT) and occupational (CHT (Certified Hand Therapist) therapy (OT) staff, other clinic managers, clinicians, and administrative staff. The manager is responsible for cultivating and maintaining a positive culture where therapy providers are encouraged to progress both clinically and professionally. This position will have a direct influence on the clinic's ability to meet productivity standards and ensure healthy revenue. Clinic managers will ensure the implementation of high-quality physical/occupational therapy services for patients and caregivers. Clinic managers will adhere to the practice standards per the principles and practices of PT, OT and Orthopedic Physicians Alaska policies and procedures. This position reports directly to the Director of Therapy Services.

Essential Functions

  1. Assist Therapy Services Director in monitoring productivity and revenue for their individual clinic
  2. Provides daily operation expiration of therapy clinic; includes supervision of all personnel, maintaining clinic schedules, maintaining all supplies and equipment.
  3. Completes quarterly coaching conversations (QCC) with all staff to provide feedback, mentoring and corrective action when needed.
  4. Serves as an advisor to the Therapy Services Director for compensation reviews.
  5. CME (Continuing Medical Education) approval
  6. Review courses, ensure direct effect either on patient care or professional growth with direct impact to OPA operations
  7. Work with HR to coordinate on-boarding new providers, ensure laptop, desk, schedule is built, added to FOTO (Focus on Therapeutic Outcomes)
  8. Point of contact for all clinic and staff issues
  9. Managing PTO and ensure a minimum of two staff are available for all scheduled clinic times.
  10. Ensure schedules are current in NextGen
  11. If provider decreases hours, generate a new contract to reflect new hours (work with HR)
  12. Approve all blocked time
  13. Coordinate with facilities management; requesting and signing off on equipment repairs
  14. Front desk training and advisement
  15. Monitor, order, organize supplies/linens to included laundering the clinic's linen (if necessary)
  16. Ensure staff provide only medically necessary care based on evidenced based evaluation, treatment, and management of patients to include chart audits to confirm compliance.
  17. Complete all required documentation (pre-certification, physician reports, daily notes, and charges) appropriate and in a timely fashion to meet facility, physician, and payer deadlines (seventy-two-hour standard to complete documentation)
  18. Maintain open and respectful communication with co-workers, physicians, patients, family members, and third-party payors.
  19. Attend and/or participate in department meetings as directed by Director of Therapy services.
  20. Supervise staff, aides, and students (as needed).
  21. Keep therapy area clean, neat, and presentable in appearance.
  22. Perform other duties as assigned by Director of Therapy Services.

Physical Demands

  1. Ability to lift patients using proper biomechanical lifting techniques frequently throughout the workday/shift; must be able to easily lift fifty (50) pounds dead weight alone.

  3. Visual acuity (near and distant) sufficient to evaluate, diagnose and monitor patient needs and to maintain accurate records, recognize people and provide directions.
  4. Ability to speak and hear sufficiently to understand and give directions.
  5. Ability to push wheeled equipment through the facility and within the community.
  6. Possess fine motor skills for legible and accurate writing reports, charting, scheduling daily correspondence and presentations, either manually or through dictation equipment.
  7. Possesses fine motor skills for the effective and efficient handling of diagnostic or therapeutic equipment.

Standard office equipment including computers, fax machines, copiers, printers, telephones, high-low desk, etc.

Work Environment

The position is in a well-lighted, well-ventilated clinical therapy environment. Will have a standard high-low desk and ergonomic chair provided

Education / Experience / Licenses / Certifications

Required

  1. Graduate of a Commission on Accreditation in Physical Therapy (PT) Education (CAPTE) certified program in physical therapy or physical therapy assistant (PTA), or Accreditation Council for Occupational Therapy Education (ACOTE®) certified occupational therapy (OT) or occupational therapy assistant (COTA) program.
  2. Minimum three years’ experience as an Orthopedic PT, PTA, OT or COTA.
  3. Licensed in Alaska and in good standing to practice as a PT, PTA, OT Or COTA.
  4. Desire to grow and develop professionally within OrthoAlaska

Position Type & Expected Work Hours

This is a full-time position. Work hours are typically sometime between Monday through Friday, 8:00 a.m. to 5:00 p.m., or other approved hours between 6 a.m. and 8 p.m. Occasional extended work hours may be required as business needs demand.
