As an Operations Associate within our real estate firm, you will play a crucial role in ensuring the smooth functioning of various operational aspects within the company. You will support the day-to-day operations and ensuring seamless coordination between various stakeholders. Your role is multifaceted, requiring a combination of administrative, managerial, analytical, and interpersonal skills to support the successful execution of development projects. The ideal candidate will be detail-oriented, possess strong communication skills, and exhibit a proactive attitude towards problem-solving.


RESPONSIBILITIES


Internal Tracking and Organization:

  • Collaborate with internal teams to gather, verify, and track critical data points, ensuring consistency, accuracy, and accessibility of information across all project stakeholders.
  • Communicate information about new projects and developments to internal stakeholders through monthly reports.
  • Oversee internal organization within Dropbox.
  • Create and document standard operating procedures, processes, and workflows to maximize efficiency.

External Relations and Reporting:

  • Interact with investors, debt and equity partners, and stakeholders to provide updates on project progress, address concerns, and maintain positive relationships.
  • Handle requests from external partners for information and data with urgency and sensitivity.
  • Coordinate with compliance teams to ensure projects are complying with legal requirements and monitor important reporting deadlines.

Event Planning:

  • Organize various events such as team-building activities, lunch and learns, ribbon-cutting ceremonies, ground-breaking ceremonies, and other promotional or celebratory events.
  • Ensure logistical arrangements, guest invitations, venue coordination, catering, and other necessary preparations are handled smoothly and efficiently and liaise with external vendors.

Project Management:

  • Coordinate with legal teams to deliver transaction summaries, closing binders, operating agreements, and other necessary documentation.
  • Collaborate with the Creative team and deal teams to develop project proposals or promotional materials, including presentations, to showcase development projects and attract potential partners.
  • Collaborate with cross-functional teams to gather input and feedback, refine messaging and visuals, and ensure marketing content is up-to-date, visually appealing, and effectively communicates desired outcomes.
  • Manage website updates and maintenance with internal teams and third-party web developer.

Administrative Support:

  • Handle paperwork, documentation, and correspondence related to property transactions, permits, contracts, and other legal matters.
  • Assist with closing processes and documentation, including the coordination of signatures.

SPECIFIC EDUCATION OR EXPERIENCE

  • Advanced Microsoft Office Suite experience is required.
  • Knowledge of the operation of standard office equipment.
  • High School diploma; bachelor's degree preferred.

KNOWLEDGE/SKILLS/ABILITIES

  • Proficiency in Microsoft Office.
  • Strong communication skills, both oral and written.
  • Ability to work well under pressure and prioritize tasks effectively.
  • Detail-oriented with a high level of determination and work ethic.
  • Self-starter with strong problem-solving skills.
  • Ability to multitask and handle various responsibilities simultaneously.

  • Frequently sit, stand, and walk.
  • Regularly required to talk or hear.
  • Frequently required to use hands or fingers to handle or feel objects, tools, or controls.
  • Occasionally required to climb or balance, stoop, kneel, crouch or crawl.
  • Occasionally lift and/or move up to 25 pounds.
  • Vision abilities include close vision, distance vision, peripheral vision, and the ability to adjust focus.
  • The noise level in the work environment is usually moderate.
  • The temperature in the workplace is typically moderate.

TRAVEL REQUIREMENTS

  • This position requires local travel up to 20% of the time and out of town travel up to 10% of the time.
