Our client, a renowned economic consulting firm headquartered in Chicago, IL, is seeking a Facilities Services Assistant to join their dynamic team.
Job Description:
We are seeking a dedicated Facilities Services Assistant to support our client's growing office environment. This role involves liaising with building management, overseeing office maintenance, and ensuring the smooth operation of office facilities.
Key Responsibilities:
- Coordinate with building management to address facilities-related issues promptly and efficiently
- Communicate office notifications provided by the Landlord to the staff
- Manage vendor relationships and evaluate procurement arrangements for office supplies and services
- Catalogue furniture and equipment, schedule repairs, and oversee warranties
- Administer building access cards and keys for employees, visitors, and temporary staff
- Assist with emergency response and evacuation plans
- Support the Real Estate team on office remodeling or new acquisition projects
- Ensure overall readiness and neatness of office spaces, including common areas and conference rooms
- Handle administrative tasks such as mail distribution, copying, and materials preparation
- Assist with marketing initiatives and client communications as directed
Qualifications:
- 2-3 years of experience in facilities management or office administration
- Proficiency in Microsoft Outlook, Excel, and Word
- Strong customer service skills with a positive attitude and excellent communication
- Ability to prioritize tasks and work independently in a fast-paced environment
Additional Details:
- Part-time position, 20 hours per week with flexibility in scheduling
- Wednesday availability required for in-office presence from 8:30 AM to 5:30 PM
- This role will require sitting at the front desk during client visits
