Position Title: Operations Coordinator (OC)

FLSA Status: Part-time

Reports To: Executive Director

Standard Operating Hours: This position requires a commitment of 20 to 25 hours per week, with a combination of remote and in-office work. The in-office requirement will vary depending on business needs, with some weeks requiring more on-site presence. Strong ability to work independently and manage time effectively in a hybrid work environment.

Role and Responsibilities:

The Operations Manager plays a crucial role in ensuring the Oklahoma City Black Chamber of Commerce (OKCBCC) remains responsive and valuable to its members, partners, and the broader community. Reporting to and assisting the Executive Director (ED), the Operations Manager will be responsible for all aspects of operations and management. The ED will assign and schedule tasks and projects, providing both verbal and written instructions as needed.

General responsibilities include, but not be limited to, the following:

  • Support the Executive Director: Assist in the management and operations of the organization, including board management.
  • Email Management: Cover and manage emails, particularly those addressed to the admin email and those forwarded by the ED.
  • Membership Management: Oversee the membership database, including member engagement, invoicing, and support for membership recruitment and retention.
  • Program Management: Manage the development and implementation of OKCBCC programming, including educational events, networking events, annual meetings, and more.
  • Marketing Support: Assist the digital marketing coordinator with marketing and promotion through social media, email lists, photo and video archiving, printing flyers, and monthly digital newsletters.
  • Board Support: Advise and support the OKCBCC Board of Directors and their specific committees. This includes attending monthly board meetings, monthly executive meetings, and other meetings as needed.
  • Assessment and Evaluation: Help develop and implement assessment tools, compile and analyze assessment data, and produce the annual assessment report to share with the OKCBCC Board and community partners.
  • Strategic Plan Implementation: Assist in implementing and evaluating the OKCBCC Strategic Plan.
  • Public Events Support: As the Operations Manager, you will play a crucial role in assisting the ED with public events hosted by the OKCBCC. Your high level of flexibility, including availability on some evenings and weekends, will be instrumental in ensuring the success of these events.
  • Compliance Support: The operations manager supports the ED to ensure that the nonprofit complies with all relevant laws, regulations, and internal policies. This includes maintaining accurate records and ensuring that all reporting requirements are met.
  • Staff Intern Management: Support coordination and support the management of staff interns.

Other Duties: Perform other duties as assigned by the Executive Director.

Qualifications:

  • Self-Starter with Initiative: Demonstrated ability to lead projects and proactively solve problems.
  • Strategic Thinker and Problem-Solver: Proven ability to create and manage systems change, with a strong focus on strategic thinking and problem-solving.
  • Excellent Communication Skills: Strong verbal and written communication and interpersonal skills that enable effective collaboration.
  • Project Management: Capable of managing multiple projects simultaneously while maintaining attention to detail and deadlines.
  • Technology Proficiency: Skilled in navigating technology, including managing Customer Relationship Management (CRM) systems and Association Management Software (AMS).
  • Financial Administrative Skills: Competent in handling financial tasks such as invoicing and minor accounting to support organizational bookkeeping and work with contract accountants.
  • Advanced Computer Skills: Proficient in using Microsoft Office, Google Drive, Zoom, Teams, and other relevant software.
  • Teamwork and Independence: Ability to work effectively independently and as part of a collaborative team.
  • Consensus Building: Demonstrated ability to build consensus and develop partnerships with various constituencies.
  • Public Engagement Experience: Experience in engaging with the public and facilitating community involvement.
  • Receptive to Feedback: Open to receiving feedback, with a strong willingness to learn and a commitment to continuous improvement.

 Compensation:

  • Part-Time Position: $20-$23 per hour, commensurate with experience.
  • Hours: M - F (4 hours each scheduled day) or M - Th (4 hours each scheduled working day)
  • Benefits: Sick or Annual Leave is not allocated or accrued with this position. Medical or Life Insurance is not available for this position.

 This position requires reliable transportation, which involves traveling as needed to multiple job sites/locations. Candidates must be able to travel between sites efficiently and on short notice.
