Job Description:

The Events Team at Circuit of The Americas is seeking an administrative assistant to join our fast-paced, exciting workplace. The ideal candidate is efficient, detail-oriented, and is skilled in managing multiple projects at once. This candidate will be reporting to the Director of Events.


Essential Functions:

  • Assist the Events team with administrative support on day-to-day operations
  • Prepare and distribute client documents
  • Prepare internal documents for major races
  • Schedule client meetings and site tours on behalf of the Event Sales Manager
  • Assist with vendor management and record keeping for Fan Engagement Activations
  • Act as liaison between Events team and Sales team
  • Oversee the Events Team internship and part-time coordinator program scheduling
  • Perform varies duties as assigned by the Director of Events


Requirements:

Job Requirements

  • Associate’s Degree; Bachelor’s Degree a plus
  • Past event experience a plus
  • Past administrative experience a plus
  • Ability to work flexible hours as needed for event schedules and extended hours during events (18-20 hours per day) in any weather elements.

Knowledge, Skills, and Abilities:

  • Superior written and verbal communication skills
  • Flexibility is required to work with others in a variety of circumstances
  • Exemplify strong organizational skill with ability to problem solve and work independently in a fast-paced environment
  • Must have a service-oriented mindset and great attention to detail
  • Proficient in Microsoft Office

Physical Demands and Work Environment:

  • Ability to stand, sit, use of hands to handle, or feel, reach with hands and arms.
  • Ability to lift and/ or move up to 25 pounds.
  • Ability to squat, bend, twist, push/pull.
  • Ability to stand/walk for long periods.
  • Work in extreme environments outdoors throughout the year.
  • The noise level in the work environment is usually moderate but can be loud during events.
  • Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of this job.
