Title: Administrative Assistant (Construction Division)
Hours: Part-Time (Evolving to Full-Time)
Pay: $20-$25 per hour,depending on experience
Location: Remote
Company Overview: Kaiva Services, LLC is a leading provider of construction services committed to delivering exceptional results to our clients. As we continue to expand our operations, we are seeking a dedicated Administrative Assistant to support our Construction Division.
Job Overview: The Administrative Assistant at Kaiva Services, LLC supports the Construction Division by providing vital administrative assistance, including general accounting duties. Responsibilities include ensuring smooth office operations, collaborating with team members, maintaining confidentiality, and exercising good judgment.
Responsibilities, other duties may be assigned:
- Provide administrative support to the Construction Division, including responding to emails, scheduling appointments, preparing agendas, and coordinating meetings.
- Proficient in notetaking during meetings, accurately capturing key discussion points, and action items.
- Assist with general accounting tasks such as processing invoices and tracking expenses.
- Collaborate with the accounting team to ensure the timely processing of vendor and subcontractor invoices, including verification of accuracy and adherence to company policies and procedures.
- Assist in payroll processing, by coordinating with field supervisors and bank contacts.
- Maintain accurate and organized records, received both electronically and in hard copy format.
- Prepare and submit billing documents, ensuring accuracy and timeliness in billing processes.
- Assist in preparing reports, spreadsheets, and presentations for PMs & management.
- Attend meetings in person and/or remotely for record-keeping or gathering information.
- Collaborate with project teams to gather and compile information as needed.
- Assist in the procurement process by preparing purchase/work orders.
- Help streamline administrative and accounting processes to improve efficiency and effectiveness.
- Always maintain confidentiality of financial and sensitive company information.
- Other duties as may be needed.
Requirements:
- Comparable experience in an Administrative Assistant or similar role, with exposure to construction or accounting functions preferred.
- Strong proficiency in Microsoft Office Suite, particularly Excel and Word.
- Basic understanding of accounting principles and practices.
- Excellent organizational and time management skills with the ability to multitask and prioritize tasks.
- Attention to detail and high level of accuracy in data entry and financial record keeping.
- Ability to work independently with minimal supervision as well as part of a team.
- Excellent communication and interpersonal skills.
- Integrity and professionalism in handling confidential information.
Benefits:
- Starting pay: $20-$25 per hour, depending on experience
- Part-time role with the potential to evolve into a full-time position
- W-2 employment status with benefits package including health and retirement plans.
Geographical:
Candidate is ideally within driving distance of St. George, Utah for periodic meetings and coordination. Hybrid arrangements may be considered for candidates who demonstrate a history of successful remote work.
