Job Title: Donor Database and Gift Processing Manager

Reporting to: Chief Development Officer – temporarily

Overview:

As the Donor Database and Gift Processing Manager, you will play a crucial role in supporting our organization's fundraising efforts by managing the Raiser's Edge database and accurately processing donations and gifts. You will ensure the integrity, security, and efficiency of our donor database system while also guaranteeing the timely and accurate recording of all donations. This position requires meticulous attention to detail, strong organizational skills, working cross-departmentally, and proficiency in database management software.

Key Responsibilities:

Database Management:

Oversee the administration of the Raiser's Edge NXT database, including system configuration, maintenance, and updates.

Implement best practices for data entry, storage, and retrieval to maintain data accuracy and integrity.

Develop and enforce data standards and protocols to ensure consistency and completeness of donor records.

Generate queries, reports, and dashboards to extract insights and support decision-making processes.

Manage the data entry and upload to ensure the accuracy of records for gift entry and adjustments.

Pull weekly reports to track gifts received and provide updates to the Chief Development Officer to coordinate necessary stewardship activities across N Street Village leadership and the Board of Directors.

Gift Processing:

Receive, record, and acknowledge all donations and gifts in accordance with established procedures and timelines.

Verify the accuracy and completeness of donor information and gift details before entry into the database.

Reconcile donation records with financial transactions and banking statements to ensure accuracy and accountability.

Generate and distribute timely acknowledgment letters, tax receipts, and other correspondence to donors.

Data Analysis and Reporting:

Analyze donor data and giving trends to identify opportunities for donor cultivation, stewardship, and engagement.

Prepare regular reports on fundraising performance, donor retention, and other key metrics for internal stakeholders.

Provide insights and recommendations based on data analysis to inform fundraising strategies and campaigns.

Collaborate with theFinance department to create reports needed during the annual audit and 990 preparations.

Training:

Provide training and technical support to staff members on Raiser's Edge functionality, data entry protocols, and gift processing procedures.

Serve as the primary point of contact for troubleshooting database issues and resolving user inquiries or concerns.

Document and maintain training materials, user guides, and standard operating procedures related to database management and gift processing.

Development Support:

Provide general database support by creating mailing lists, email lists, and additional segmented lists needed for stewardship and cultivation communication for our donors, volunteers and key stakeholders.
