POSITION SUMMARY:

This position performs the day-to-day duties that support the Accounting Department including accounts payable and accounts receivable. This position is also responsible for receiving and directing phone calls through the company phone system, greeting visitors, and performs other clerical duties as assigned.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Controls access to the facility per Company Guidelines
  • Greets all visitors courteously, determines their needs, and directs them to the proper person and/or office.
  • Operates Company Telephone System to relay incoming and interoffice calls.
  • Receives, sorts, and posts incoming mail from U.S. Post Office, courier services, etc. daily
  • Receives all outgoing mail daily, adds postage, sorts for delivery.
  • Prints records received in a shared Payables email inbox daily, sorts and distributes for approval daily.
  • Collects receiving records from the Receiving Department daily.
  • Completes 3-way matching daily: Purchase Order, Invoice and Receiving records
  • Enters matched invoices daily.
  • Pulls invoices for weekly check runs (ACH, manual, and remote check printing).
  • Review vendor statements to identify missing invoices or problems that require additional research weekly.
  • Communicates with customers, Sales Department, and CFO to ensure timely receipt of accounts receivable.
  • Communicates with vendors and suppliers to ensure timely payment for services and commodities.
  • Runs accounts receivable and account payable reports.
  • Keeps accurate records of accounting transactions and assists others as needed.
  • Audits and proofs accounting reports for clerical accuracy and conformance to departmental, county, and state procedures.
  • Assists in filing, data entry, and other duties as needed.
  • Works with others in the Accounting Department to maintain an accurate General Ledger.
  • Participates in and supports the principles of Open Book Management.

WORK ENVIRONMENT:

Work is performed mostly in a controlled atmosphere. Some exposure to harsh conditions for short periods of time is possible.

PHYSICAL DEMANDS:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential function of this job. While performing the duties of this position, the employee is regularly required to walk, stand, use hands to finger, handle or feel; reach with hands and arms climb or balance; stoop, kneel, crouch or crawl and talk and hear. Sitting 80%, standing/walking 20%. Occasionally lift and or move up to 20 pounds and 50 pounds occasionally.

SKILL/ KNOWLEDGE/ ABILITY/ EDUCATION/ EXPERIENCE REQUIREMENTS:

  • High School Diploma or GED required.
  • AA/AS or BS/BA in Accounting or related discipline preferred.
  • Excellent verbal and written communication skills.
  • Working knowledge of bookkeeping theories and practices and accepted office procedures preferred.
  • Ability to perform a volume of numerical detail work with speed and accuracy, to make difficult mathematical computations with and without mechanical assistance (ability to operate a calculator by touch).
  • Must have the ability to multi-task by balancing/prioritizing 5-10 projects/cases at any given time.
  • Requires effective relationship management skills with co-workers in a team environment and with customers and suppliers.
  • Requires effective time management skills, personal conduct, and change management abilities.
  • Requires the desire to expand personal competencies and capabilities through training and education.
  • Computer literacy/experience required. Must be proficient in Windows environments. Working knowledge of word processing, PowerPoint, spreadsheets, e-mail, and Web-enabled applications.
