Summary of Job Responsibilities:

Provides administrative support for the President/CEO and the Board of Directors. Accountable for complying with all Bank Secrecy Act and Anti-Money Laundering regulations, bank policies, and procedures.


Essential Job Duties:

  1. Completes a wide range of typing tasks, including correspondence, reports, tables, agreements, and so forth that require a high level of typing proficiency and a good knowledge of generally accepted formatting principles.
  2. Produces high-quality written communication with a minimal amount of supervision. Corrects, edits, rephrases, and provides punctuation as necessary to ensure that the final communication conveys the intended meaning and is correct in detail.
  3. Prepares administrative reports, gathers data and information from a variety of sources, verifies accuracy of data and organizes and drafts reports to ensure meaningful display of information for the intended purpose.
  4. Assembles and distributes documents, reports and information needed for meetings held by the CEO, Directors and Senior Management. Ensures participants are informed of meeting dates and times.
  5. Acts as recording secretary for Board and Bank committees as requested by committee chair.
  6. Keeps stock records, prepares stock transfers/sales and produces and amils quarterly dividends for the holding company.
  7. Performs related duties that require a thorough knowledge of Management's area of responsibilities.
  8. Prepares copies of general information for distribution to the staff and performs other clerical duties.
  9. Answers and/or routes telephone calls, emails and other communications as needed.

Other Essential Job Duties:

  1. Miscellaneous Assignments as directed by the CEO.
  2. Backup the Commercial Loan Department Assistant.
  3. Backup to the Administrative Assistant to Senior Management

Skills and Abilities Required:

  1. Above-average proficiency with Microsoft Office programs and general computer knowledge.
  2. Must possess the ability to maintain strict confidentiality in the handling of information of a very sensitive nature.
  3. possess proficient secretarial and clerical skills.
  4. Good interpersonal skills enabling a positive representation of the bank to customers and other staff.
  5. Familiarity with Commercial Loan Department documentation and general processes helpful, but not necessary.

Minimum Level of Performance and Training Normally Required:

  1. High school diploma required, supplemental business and/or college education helpful.
  2. At least 2 years in an administrative position reporting to an executive preferred.
  3. Must possess excellent communication skills (written and verbal)

Working Conditions:

Some pressure may be involved meeting deadlines, but no unusual physical factors or demands are associated with this job. Work environment (physical surroundings) are above average.
