Talent Attraction Event Coordinator Job Description:
  • We are looking for an Event Coordinator to join our Talent Attraction Experiences Team. In this role, you will help drive affinity for our talent brand by supporting the execution of creative in-person, digital, and hybrid experiences. From smaller, more intimate events, to tentpole activations at industry conferences, the event coordinator will work with the team to coordinate, track, and manage various administrative, operational, and logistical elements of the events lifecycle. This position requires navigating various priorities and tight deadlines within a fast-paced, production-driven environment to help create tailored and memorable experiences for our audiences.
Responsibilities:
  • Partner with Talent Attraction Experiences Manager, event project managers, and broader Talent Attraction team to support planning and execution of multiple events and experiences
  • Coordinate, organize, and track various administrative tasks such as procurement and onboarding of vendors, invoice and payment processing, shipping, scheduling meetings, building event staffing schedules, booking meeting spaces
  • Coordinate catering, transportation, and technical support needs for events with internal company counterparts
  • Coordinate, organize, and track design fulfillment needs for team such as printed materials and signage, swag orders, attendee handbooks, name tags
  • Coordinate and manage event volunteer staff needs such as identifying internal company volunteers to support event execution, running volunteer prep sessions, managing volunteers onsite at events
  • Coordinate team travel needs and schedules to support events
  • Manage documents to track status, timelines, and resources of various projects
  • Provide onsite event support alongside colleagues (e.g. load-in/out, guest check-in, production support, audience management)
  • Build, document, and organize processes to drive team efficiency and enablement
  • May lead event workstream or own planning for segments of larger events
Basic Qualifications:
  • 2+ years of event coordination and operations experience - in-house, agency, or independent contractor experience
  • Ability to provide onsite support for events in the Bay Area.
Preferred Qualifications:
  • Strong event coordination and project management skills
  • Ability to establish and manage (sometimes competing) priorities, and handle numerous time-sensitive projects with multiple deadlines
  • Strong communication skills - verbal, written and listening
  • Extreme attention to detail with top notch organizational skills
  • Familiarity with events software and tools (e.g. Canva, AllSeated, Splash)
  • Ability to work with Google Suite and Microsoft Office tools
  • Experience supporting events of various sizes and in various formats (live, virtual, hybrid)
  • Experience building templates and documenting processes
  • Familiarity with full event lifecycle (planning through execution and post-event reporting)
