Operations Coordinator

Location of Position:

Northeast San Antonio, TX

The Position:

The Operations Coordinator oversees the daily operations of a branch location to ensure customer satisfaction and employees maintain their productivity. They have multiple responsibilities and need to be able to juggle the numerous requests coming from various sources. They communicate with both General Manager and Corporate to recap activities as well as determine necessary changes to day-to-day operations.

Job Responsibilities:

· Ensure superior customer service by supporting and coordinating with field staff .

· Work with dispatch and customers on job scheduling to ensure customer satisfaction.

· Process and effectively communicate emergency calls with office, dispatch, field, and answering service.

· Assist with service repair estimates and simple quotes as needed to ensure timely turnaround to customer.

· Serve as a primary point of contact for customers.

· Create a rapport with customers in the market.

· Ensure effective and efficient resolution to customer inquiries regarding job, parts, and delivery status.

· Ensure effective and efficient resolution to customer inquiries regarding invoice concerns and needs.

· Maintain files and records utilizing Willbanks ERP and any other computer systems.

· Work with ASM and Corporate on maintenance contracts, scheduling, and expiration dates.

· Assist in deliveries, parts, and customer will-call.

· Keep track of inventory and work with ASM and corporate for inventory maintenance and needs.

· Monitor office expenditures and office contracts.

· Support market manager as needed for sales meeting presentations and customer events.

· Perform other duties as assigned.

Qualifications:

· High School Diploma or GED required.

· 2+ years of experience in related field.

· Associate degree in a related field preferred.

· OSHA 10 Safety Training Certification preferred.

· Certified in Production and Inventory Management preferred.

· Warehouse Management Systems (WMS) Certification preferred.

· Certified Supply Chain Professional (CSCP) preferred.

· Certified Logistics Professional (CLP) preferred.

Desired Skills and Competencies:

· Boiler, HVAC, or Plumbing industry experience a plus.

· Inventory management experience a plus.

· Customer Service-related experience a plus.

  • Self-starter and self-motivated.
  • Ability to multi-task and handle multiple responsibilities.
  • Relationship-oriented.
