Position Summary

Under the supervision and direction of the office manager, the office assistant supports to assure the smooth and efficient operation of student registration, student attendance, and parent, student and staff communication

Position Responsibilities

  • Welcome visitors and respond to inquiries: Welcome visitors to the school office and greet them warmly and provide them with any necessary information or direction.
  • Manage communication: answering phone calls, forwarding messages, and directing calls to the appropriate staff member.
  • Manage attendance: Track attendance accounting of all students; input attendance codes; prepare tardy slips; create list of verified and unverified absences; prepare weekly and monthly attendance reports and verify student absences either through written or verbal communication with parents or guardians (e.g., telephone, email).
  • Support administrative staff: Provide general administrative support to the school's administrative staff, including data entry, photocopying, filing, and organizing paperwork.
  • Manage office supplies and equipment: Maintain an adequate supply of office materials, such as pens, paper, and printer ink, and ensuring that all office equipment, including computers, printers, and copiers, is in good working condition.
  • Assist with student enrollment and records: Assist with student enrollment by collecting and verifying student information, maintaining accurate records, and responding to inquiries from parents or guardians.
  • Support school events: Assist with planning and organizing school events, such as parent-teacher conferences, open houses, and school fundraisers.
  • Other duties as assigned
