POSITION SUMMARY

The Administrative Assistant works closely with the Adminstrative Manager to coordinate Foresight’s administration system and general workflows. Their duties include: facilitating timely communication throughout the company, assisting in  logistics and scheduling, and helping the different divisions to make the workplace more efficient. The Administrative Assistant must be highly organized and skilled at effective communicators. Multitasking is also essential, as people in this position need to keep track of multiple moving parts in the company. We are looking for someone who is naturally friendly and personable, with a positive attitude and excellent interpersonal skills. The ideal candidate will be able to build rapport with clients, colleagues, and stakeholders, creating a welcoming and professional atmosphere.

 

This role is currently remote but will have an requirement to work in an office in the future. The specific dates and times for on-site work will be determined based on business needs.

 

JOB FUNCTIONS

  1. Interact with a diverse group of employees in remote and local offices.
  2. Manage schedules and deadlines.
  3. Schedule and coordinate employee travel.
  4. Post job openings and schedule interviews of job candidates.
  5. Onboarding new staff.
  6. Train personnel on administrative protocols.
  7. Attend weekly division and team meetings.
  8. Ensure the smooth and adequate flow of information within the company to facilitate other business operations.
  9. Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints.
  10. Organize and supervise other office activities (recycling, renovations, event planning etc.).
  11. Keep abreast with all organizational changes and business developments.
  12. Planning company events.

 

SKILLS & QUALIFICATIONS

  1. Communication Skills: Excellent verbal and written communication skills to interact effectively with colleagues, clients, and vendors who are both in-person and remote.
  2. Organizational Skills: Strong ability to prioritize tasks, manage time efficiently, and keep track of multiple responsibilities.
  3. Attention to Detail: High level of accuracy in data entry, filing, and document preparation.
  4. Customer Service Orientation: Friendly and professional demeanor when dealing with employees, visitors, and clients.
  5. Computer Proficiency: Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and basic knowledge of office equipment and ability to quickly learn new software and online databases.
  6. Multitasking Ability: Capable of handling multiple tasks simultaneously and working under pressure.
  7. Problem-Solving Skills: Ability to identify issues and find effective solutions independently or with minimal supervision.
  8. Team Player: Cooperative attitude and willingness to work with a diverse group of employees and assist colleagues and contribute to a positive team environment.

EDUCATION & TRAINING REQUIREMENTS

  1. Preferred degree in Business Administration or 1+ year relevant experience.
  2. Must be eligible for employment within the United States.
  3. Must have a high school degree or equivalent.
  4. Must be able to pass an extensive background check.
  5. Must possess the ability to communicate with varying personalities effectively and professionally.
