Job Summary

The College of STEM (CoS), a new academic unit within HSSU, is looking for a Senior Administrative Assistant who, under the direction of the Dean of the College of STEM, will perform senior administrative support for the Dean and the College of STEM. The Senior Administrative Assistant performs specialized and routine tasks of a support and leadership nature requiring knowledge of the institution; multiple academic and administrative departments and departmental functions, activities and policies; general office processes and procedures; and current, and developing, structure of the new academic unit. Work performed is within general parameters.

Essential Functions

  • Perform Faculty/Staff Administrative functions, including semester course load information administration
  • Utilizes project management approaches to develop and maintain College of STEM communication, planning and record-keeping activities, including the College calendar and the scheduling and coordination of CoS events
  • Receive and manage CoS-related internal and external mail, email and follow-ups
  • Manage institutional and College general administrative functions, including requisitions, budget management, travel coordination, compliance activities,
  • Develop, institute and maintain a record-keeping system to achieve and maintain institutional, College-level and departmental documentation policies
  • Initiate and/or lead projects to improve CoS operations
  • Be an active, contributing member of the CoS Operational Leadership Team
  • Work with the Dean and Chairs to achieve institutional and College goals
  • Provide direct administrative support for the Dean

Education and Experience

  • Associates degree in Business Administration or a STEM-related area required
  • Minimum three years of increasingly responsible administrative support experience; Or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job, such as those listed above

Knowledge, Skills and Abilities

  • Intermediate level Microsoft Office skills: Word, Excel, PowerPoint, and Access
  • Communication, interpersonal skills as applied to interaction with coworkers, supervisor, the general public, etc., sufficient to exchange or convey information and to receive work direction
  • Performing basic research, analyzing data and information, and developing, evaluating, and presenting recommendations
  • Performing multiple tasks simultaneously
  • Performing routine mathematical calculations
  • Utilize project management approaches in addressing episodic and recurring work functions and tasks

Physical Requirements

  • Generally sedentary Work: Exerting up to 50 pounds of force occasionally and a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body.
  • Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met
  • May require walking and taking stairways.
