The Development Systems Coordinator reports to the Manager of Development Systems and assists with receipt and processing of donations, generating and archiving gift-related correspondence, tracking and maintaining donor recognition, updating donor data records, and assisting with data pulls to support the needs of the development team.

Essential Functions:

Gift Renewal and Acknowledgement

  • Assist with preparation of renewal letters for annual gifts, pledge payments and other special campaigns monthly.
  • Assist with preparation of pledge reminder letters and invoices for payments on capital, endowment, and annual gifts.
  • Generate acknowledgement letters and annual benefit fulfillment packages.
  • Track benefits in donor record; issue replacement or supplemental benefit materials upon request.
  • Generate thank-you letters from Straz Center President and CEO, with direction from Chief Development Officer.
  • Generate year-end tax statements for donors $1,000+.
  • Serve as back-up for gift entry for Manager of Development Systems.

Stewardship

  • Maintain accurate donor recognition lists for website, printed programs and publications, and campus recognition.
  • Ensure annual disbursement of parking passes, donor cards, or other benefit collateral to appropriate endowment and capital campaign donors, founders, board members and public officials.

General/Administrative

  • Monitor emails to a shared mailbox; direct to gift officers when appropriate.
  • Maintain the digital archive of gift correspondence.
  • Perform data pulls and generate lists for digital and print mailings for development and marketing communications.
  • Assist with data clean-up as necessary to maintain accurate and relevant electronic donor records; provide backup support to maintain Board of Trustees and Public Officials constituencies in database.
  • Track development collateral and office supply inventory.
  • Other duties as assigned.

Supervisory Responsibilities:

  • This position has no supervisory responsibility.

Minimum Qualifications (Knowledge, Skills, and Abilities):

  • Computer-related experience and understanding of accounting principles necessary. Preferred proficiency with Microsoft Office suite.
  • Self-starter with an extraordinary commitment to accuracy and detail.
  • Fundamental understanding of fundraising concepts preferred.

Education and Work Experience:

  • High school diploma or GED.
  • Two years' experience in database management.
