General Summary:

Fleet Coordinator is responsible for providing maintenance and repair support for 9 plus McPherson facilities and 100+ vehicles throughout 6 states. The Fleet Maintenance Coordinator works with the Fleet Manager, Logistics management team and vendors to ensure equipment and vehicles within each location receive regular maintenance, scheduling repairs as needed. Additionally, the Fleet Maintenance Coordinator ensures that all McPherson vehicles and equipment are operating in a safe manner.

Primary Responsibilities and Duties:

  • Coordinate all inhouse equipment and vehicle repairs and PM schedules.
  • Ensure that all equipment and vehicles are in proper working order and available for use.
  • Maintain relationships with contracted vendors to ensure completion of capital and maintenance projects.
  • Coordinate and implements preventive maintenance schedules, equipment and vehicles; respond to urgent maintenance and repair requests.
  • Act as liaison between branch and logistics management and any outside contractors needed to resolve specialized problems.
  • Collaborate with branch and logistics management to ensure a safe, clean, and functional environment.
  • Manage vendor relationships and contracts; develop and maintain preferred vendor lists.
  • Maintain equipment and vehicle repair and maintenance logs.
  • Receives, manages, and processes work order requests.
  • Conduct cost analysis on vendor quotes and negotiate rates with vendors; track against maintenance budget and spend.
  • Develop and maintain knowledge and expertise of equipment, parts, functions, and processes utilized for operations.
  • Responsible for the completion of other related assignments as required by management.

Position Requirements:

  • High school graduate required. College courses preferred.
  • Minimum of three years of experience with fleet maintenance coordination or similar field preferred.
  • General knowledge of lubricant and fuel terminology.
  • Knowledge of ground transportation operations including DOT regulations and knowledge of on-board truck computer systems helpful.
  • Ability to prioritize, troubleshoot and coordinate multiple tasks while meeting deadlines in a fast-paced, changing environment.
  • Commitment to meeting the expectations and requirements with a good sense of urgency.
  • Must be team-oriented, highly organized, detailed oriented and have successfully demonstrated the ability to manage multiple priorities.
  • Demonstrated ability to look for ways to improve and promote efficiencies.

  • Advanced computer skills and knowledge of Microsoft Office software. Previous sophisticated ERP system experience a plus.
  • Excellent interpersonal, written and verbal communication, and listening skills.
  • Proven experience identifying problems of varying complexities and finding effective solutions with few guidelines.
  • Sense of urgency and commitment with strong follow up skills.

Working Conditions:

The work of this position is performed in a controlled office environment. This position requires the ability to work under pressure and communicate with a diverse population including other employees, customers, vendors, etc. This position also requires prolonged periods of sitting in a regular seated position as well as the use of general office equipment including phones, printers, computers, (mouse, keyboard, etc.)
