POSITION TITLE: Medical Assistant

REPORTS TO: Outpatient Clinic Nurse

DIRECT REPORTS: None

FLSA STATUS: Non-exempt; regular full-time; employment-at-will position.

SCHEDULE: The work schedule will generally conform to that of a full-time Monday-Friday 40-hour-per-week schedule to be performed within the Center’s hours of operation. (Monday 7a-5p, Tuesday 8a-5p, Wednesday 10a-5p, Thursday 8a-5p, Friday 9a-2p)

PURPOSE: The Medical Assistant plays a vital role in providing comprehensive care and support to individuals with mental health conditions. Their responsibilities combine administrative tasks with clinical duties, catering specifically to the unique needs of patients in a mental health context.

ESSENTIAL JOB FUNCTIONS:

  1. Greet and room the patient according to schedule type. Coordinating telehealth psychiatric services including set up/help in troubleshooting Zoom
  2. Manage patient appointments, ensuring follow-up appointments are scheduled as needed. Assist client with scheduling next psychiatric service(s).
  3. Maintain and update patient records, including mental health assessments, treatment plans, and progress notes, while adhering to strict confidentiality guidelines.
  4. Handle patient inquiries via phone and email, offering support and addressing non-clinical questions or concerns. Other communications include screening and returning phone calls, coordination with pharmacies, faxing prescriptions, obtaining lab information, prior authorization for medications, contacting high risk clients to encourage medication compliance and to keep medication appointments, scheduling of medication checks and psychiatric evaluations, and data gathering on specific disorders and/or medication per provider direction
  5. Monitor and record vital signs, as well as changes in mental and emotional states, including height, weight, BMI, blood pressure, pulse, respiration, client reports of current symptomology, medication compliance issues, side effects, any information needed regarding co-morbid health conditions or newly diagnosed health conditions, and review and update current medication list
  6. Assist mental health professionals with assessments and screenings, such as depression, anxiety, and risk assessments.
  7. Ensure proper documentation of medication administration and any observed side effects.
  8. Be prepared to provide immediate support and assistance in crisis situations, including de-escalation techniques and contacting emergency services if necessary.
  9. Work closely with the nursing staff, medication prescribers, and mental health professionals to provide comprehensive care to patients.
  10. Explain mental health treatment plans, medication instructions, and therapy procedures to patients, answering their questions and addressing concerns. Patient Assistance Program coordination with client and pharmacies and filling out and tracking required paperwork
  11. Offer emotional support and active listening to patients, providing a compassionate and non-judgmental environment.
  1. Connect patients to community resources, social services, or additional support services when necessary.
  2. Ensure compliance with mental health laws and regulations, including maintaining patient confidentiality as mandated by HIPAA.
  3. Monitor the environment to ensure patient and staff safety and be aware of potential safety risks.
  4. Maintain accurate, detailed, and up-to-date patient records, including notes on patient progress and any observed changes. Ensure treatment plan is valid and update with client if needed prior to medication appointment. Verify releases of information are current and obtain needed releases of information as needed.
  5. Collaborate with other healthcare professionals and community partners to provide comprehensive care.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

  1. High school diploma or its equivalent.
  2. Prior experience as a medical assistant or in a similar healthcare role, experience in a behavioral health setting is preferred.
  3. Effective communication and active listening are essential for building trust with patients and collaborating with a mental health treatment team.
  4. Proficiency in using medical software, electronic health records (EHRs), and medical equipment is often required.
  5. Must be proficient in the English language.

PHYSICAL DEMANDS:

  1. Remaining stationery, such as standing or sitting, for prolonged periods.
  2. Frequently moving from one worksite to another to accomplish tasks.
  3. Adjusting or move and carry objects up to 10 pounds in any direction.
  4. Repeating motions that may include the wrists, hands or fingers as well as bending and stooping.
  5. Communicating with others to exchange information.
  1. This position requires the use of a company vehicle.

WORKING ENVIRONMENT: The environment is a typical outpatient medical office environment. Work is generally performed indoors with ambient room temperatures, lighting, and traditional office equipment. This position will require the use of a company vehicle for business and requires travel to other offices. The Medical Assistant may be exposed to all low socio-economic homes as well as aggressive situations.

SALARY RANGE FOR THIS POSITION: Salary commensurate with experience and Kanza MHGC salary structure.
