The Office Receptionist serves as the first point of contact for visitors and clients, providing a welcoming and professional atmosphere. This role is responsible for managing the front desk, handling incoming calls, directing visitors, and performing various administrative tasks to support the smooth operation of the office.
Key Responsibilities:Front Desk Management:
- Greet and welcome visitors with a positive, professional attitude.
- Answer and direct phone calls, taking messages as needed.
- Maintain the reception area, ensuring it is clean and organized.
Administrative Support:
- Manage incoming and outgoing mail and deliveries.
- Schedule and coordinate appointments, meetings, and conference rooms.
- Assist with office supply management, including ordering and inventory tracking.
- Prepare and distribute correspondence, memos, and other documents.
- Assist with data entry, filing, and maintaining accurate records.
Client and Visitor Relations:
- Provide information and assistance to clients and visitors.
- Ensure that visitors are properly signed in and directed to the appropriate person or department.
- Handle inquiries and complaints, escalating issues as necessary.
Office Coordination:
- Assist in coordinating office events, meetings, and other activities.
- Liaise with building management and maintenance staff as needed.
- Support other departments with various tasks as required.
- High school diploma or equivalent required; associate degree or higher preferred.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to maintain a professional appearance and demeanor.
