Job DescriptionJob DescriptionDescription:

Process external portable/modular orders received via website or ExhibitForce and coordinate projects to completion. This includes writing and creating job numbers, handovers, reporting, fulfillment, and communication and coordination with the client on tracking information, setup and preview photos, and return inspection (if needed) of each project. Communicate and coordinate between departments for production and show service jobs.


Project Planning and Execution -

Manage the planning, execution, and closing of multiple portable/modular projects simultaneously, ensuring that all project objectives are met within the specified timeframes and budget constraints. Maintain accurate project documentation, including project plans, client photos, client approvals, preparation for shipment, schedules, budgets, and status reports. Ensure that all project deliverables meet quality standards. Complete packdowns, scan barcodes, and build barcodes when needed.


Internal Collaboration -

Assist other departments or team members with various tasks or helping out when busy with full schedule.


Shipping -

Ensure on-time deliveries and a successful show/project as well as providing or reviewing accurate packing list. Ensure accurate BOLS and Shipping Labels are generated (when required).


Problem Solving and Quality Control -

Identify potential risks and develop mitigation strategies to minimize their impact on project outcomes. Proactively address any issues or obstacles that may arise during the project lifecycle. Ensure quality results.


Managing Project Financials and Project Closures -

Collect all payments before due, especially prior to shipping. Change invoices or sales orders to ensure all payments are correct in the system, including completing add-ons to avoid unnecessary charges. Process any necessary credit/re-bills. Perform timely project reconciliations.




Requirements:

Skills, Knowledge & Abilities Required

Proficiency in various project management methodologies

Knowledge of budgeting principles and financial management techniques to effectively manage project budgets and resources.

Understanding of risk management principles and techniques to identify, assess, and mitigate project risks.

Knowledge of quality management principles and methodologies to ensure project deliverables meet quality standards and customer expectations.

Understanding of stakeholder management techniques to effectively engage and communicate with stakeholders at all levels.

Familiarity with project management software and tools such as Microsoft Project, Jira, Asana, etc., to facilitate project planning, tracking, and reporting.

Strong problem-solving skills to identify issues, analyze root causes, and develop effective solutions.

Strong time management skills to prioritize tasks, manage multiple projects simultaneously, and meet deadlines effectively.

Ability to think critically and analytically, evaluating information and making sound judgments.

Strong attention to detail to ensure accuracy and quality in project deliverables and documentation.

Knowledge of talent acquisition, onboarding, and training processes.

Ability to assess staffing needs and identify skill gaps.
