The Plant Administrator leads a blend of administrative and HR tasks that support plant activities through efficient documentation, process management, and communication. Responsibilities may include supporting employees and temporary staff members, managing records, coordinating schedules, and assisting with compliance matters, all of which contribute to the overall productivity and efficiency of the plant operations. This hourly, full-time role will report to our HR manager and be mainly located at our largest production facility in Chaska, MN, but will also have occasional responsibilities at our other production and corporate location in Eden Prairie, MN.


Job Duties and Responsibilities:


1. Contribute to creating an effective, efficient and welcoming facility environment

  • Coordinate scheduling and logistics for outside vendors, customers and other third-party visits, ensuring safety and GMP protocols are followed.
  • Help plan, organize, and administer company events and meetings to maintain and generate goodwill, employee appreciation, and engagement.
  • Manage office supplies, IT equipment, and mail flow to ensure a smooth workflow. Liaise with IT help desk to proactively resolve issues and concerns.

2. Oversight of badge system, timekeeping and work uniform program

  • Serve as an administrator of the facility security system and manage badge issuing for employees and contractors.
  • Act as a resource and provide support to employees and temporary staff on badge system, time clock procedures and equipment issue resolution.
  • Train supervisors, new employees, and contractors on the proper procedures for timekeeping, recording, and issue resolution.
  • Manage the work uniform program and act as a point of contact for the third-party vendor.

3. Support for employee safety program

  • With supervision from the HR Manager, maintain records of safety incidents (First Report of Injury) and ensure proper follow-up on open items.
  • Partner with EH&S on safety incident follow-ups, monthly reporting, and OSHA 300 log maintenance.
  • Provide data and support as needed for safety programs and initiatives.
  • Provide hands-on support for Safety Steering Team and Safety Committee activities.

4. Recruiting, onboarding and training

  • Support the recruitment process for regular and temporary employees through communication with staffing agencies and hiring managers.
  • Process transactions in UKG and other sites or systems to on-board and off-board temporary employees and provide them with needed information and support as they join or leave the company.
  • Help schedule, organize, and preset new hire orientation to ensure a thorough and welcoming onboarding experience.
  • Set up workstations for new hires, order supplies and stationaries as needed.

5. Administrative and Communications

  • Sorting of interoffice and USPS mail daily.
  • Maintaining employee records by creating new hire files, filing, and purging older documents as needed.
  • Distribution of communications via text and email regarding company and HR events.
  • Ensure employee communication on bulletin boards, and UKG is maintained and up to date.

6. Perform other work as assigned.


Qualification and Skill Requirements

  • This position requires 2-4 years of previous experience as an administrative professional at a manufacturing site or a similar role in a manufacturing environment.
  • A High School diploma is required.
  • Working knowledge of Spanish and being fluent in English is highly preferred due to the large percentage of workers having limited English language abilities.

Knowledge and Skill Requirements

  • Proven ability to manage multiple priorities in a fast-moving manufacturing environment.
  • Strong demonstrated skills in keeping organized and working on multiple processes. Ability to solve problems as they occur and work with others to address issues timely.
  • Ability to build relationships with employees and other staff across all levels. Effective interpersonal communication skills are a must. This position also requires strong attention to detail and a strong customer service focus. Must be able to maintain confidential information.

Technical Skills

  • Proficient at Microsoft Windows and Microsoft Word, Excel and Outlook.
  • Previous experience with HRIS software such as UKG a plus.
  • Can be accurate, precise and pay attention to detail.
  • Can read and write at a high school level.
  • Understands and can do basic math to create a spreadsheet report or produce a query

Work Requirement

  • This position may require work hours beyond the normal workday based on the demands of the business cycle, customer volume of business, and specific sales efforts underway. It requires reliable transportation. It has a moderate to high demand for tight deadlines. This position entails work of a cyclical nature. It has no requirement for overnight travel. It may require occasional travel between facilities.
