Title: Project Coordinator
Type: In person, 1099 Contract
Pay: $75-$85k annually
Hours: 40 hours/week

Job Summary: We are seeking a versatile and organized Project Coordinator to join our team, specializing in sourcing and procurement, project scheduling, and comprehensive communication and coordination across various project stakeholders. In this role, you will be responsible for managing meeting schedules, preparing agendas and minutes, and ensuring efficient communication between clients, design teams, vendors/subcontractors, and the construction team.

Responsibilities

  • Sourcing and Procurement: Oversee procurement activities, including vendor/subcontractor selection, negotiation, and contract management.
  • Project Scheduling: Develop and maintain project schedules to ensure deadlines are met and milestones achieved.
  • Meeting Coordination: Schedule and coordinate meetings, prepare agendas, and document minutes to facilitate effective communication and decision-making.
  • Budget Management: Track budget vs. actual expenditures, review expenses, and reconcile costs to maintain financial control over projects.
  • Communication and Coordination: Act as a central point of contact for clients, design teams, vendors/subcontractors, and the construction team, ensuring seamless information flow and timely resolution of issues.
  • Software Proficiency: Utilize Builder Trend compliance software as a master user, and demonstrate proficiency in Microsoft Office suite for project documentation and reporting.
  • RFIs and Change Orders: Manage Requests for Information (RFIs) and change orders, ensuring clarity in project specifications and managing scope changes effectively.
  • Pay Applications: Review pay applications and ensure accurate processing and documentation for project billing and payments.

Requirements and skills
  • Proven experience in project coordination, preferably within the construction or related industry.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines effectively.
  • Excellent communication skills, both written and verbal, with attention to detail.
  • Proficiency in Builder Trend compliance software and Microsoft Office suite.
  • Ability to conduct internet searches for sourcing information and stay updated with industry trends.
  • Bachelor’s degree in construction management, Engineering, Business Administration, or related field preferred.
  • Previous experience in project coordination, procurement, or construction administration roles is advantageous.
