Customer Service Representative (with Activities and Admissions Support)

The Customer Specialist at Avamere Rehab of Coos Bay serves as the first point of contact for residents, visitors, and staff. This role involves many hats, including managing the front desk, answering phone calls, greeting visitors, and providing information. The Customer Service Representative should have a genuine love for supporting the geriatric population. This role will provide exceptional customer service to residents, families, and visitors, assist with the planning and execution of engaging activities alongside our Activities Director, and support the admissions process

The ideal candidate should have excellent communication and organizational skills, a friendly and professional demeanor, and the ability to manage multiple tasks efficiently in a healthcare setting.

Schedule:

  • Primary Hours: Saturdays and Sundays
  • Occasional Weekday Hours: As required

This role will primarily work on weekends with occasional hours during the week. This role is perfect for someone looking for a flexible schedule with a focus on weekend availability.

Responsibilities

  • Available to work weekends (Saturday and Sunday) consistently.
  • Flexibility to work occasional hours during weekdays as needed.

Reception Duties:

  • Answer telephones, operate facility paging system, and manage resident list and incoming calls to residents.
  • Greet visitors, and give directions and information to guests, residents and sales representatives.
  • Ensure all visitors abide by existing rules, use ID badges and manage the sign in/out log.
  • Assist Administrator and Department Directors in administrative manners.
  • Receive, sort and distribute mail.

Admissions Duties:

  • Assisting prospective residents and their families, managing admissions paperwork, and coordinating with other facility team members to ensure a smooth transition for new residents.
  • Ideal candidates will have strong communication skills, attention to detail, and the ability to manage multiple tasks efficiently in a healthcare setting.

Education

  • High school diploma or equivalent, additional education or secretarial training preferred.

Experience

  • 1+ years of experience in a clerical position, preferably in a healthcare office setting.
  • 1+ years of experience in a customer service position.
  • Experience with Admissions and Activities within a skilled nursing facility is a plus
  • Ability to use general office equipment and computer systems required.
  • Must present a professional appearance and reputation to represent Avamere and this facility.
  • Maintain confidentiality of all resident care information in accordance with HIPAA guidelines.
  • Create and uphold an atmosphere of warmth, patience, enthusiasm, and a calm and cheerful environment.
