Job Description:

The Customer Service Representative plays a crucial role in ensuring that customer orders and quotes are accurate and executed promptly, ensuring that our client meets customer expectations. This position will work closely with the Sales Team, acting as a liaison and advocate to facilitate seamless customer interactions and support.

The ideal candidate will be passionate about delivering outstanding customer service and will thrive in a dynamic environment where attention to detail and effective communication are essential. They will collaborate with cross-functional teams, manage customer inquiries and requests, and contribute to the overall success of the organization.

Duties and Responsibilities:

  • Work collaboratively with the Sales Team to ensure accurate and timely processing of customer quotes.
  • Assist in generating essential documents, such as Certificates of Compliance, Shipment Schedules, References, and Bid Packets.
  • Support the Sales Team with order entry and project management.
  • Execute Contract Review for incoming orders, verifying details such as shipping instructions, addresses, billing information, and payment terms.
  • Follow up on customer service requests, respond promptly, and ensure their completion.
  • Coordinate and initiate the Customer Complaint process and RMA (Return Merchandise Authorization) procedures.
  • Manage the Material Print Change process to address any required changes to drawings or specifications.
  • Process purchase orders received via email or fax, verifying pricing, part numbers, and quantities, and enter them accurately and promptly.
  • Handle Sample Orders, create Sample Cards, and follow up on Sample Approvals.
  • Generate and send Order Acknowledgements to customers.
  • Interface with customers via phone and email to resolve queries regarding Sales Orders, Customer Complaints, Sample Orders, or Lab Reports.
  • Maintain and update Customer Master Data, including billing notes, invoicing emails, shipping instructions, and order entry instructions.
  • Manage and facilitate rush requests from start to completion.

Required Experience/Skills:

  • Bachelor's Degree or equivalent work experience
  • Minimum 3 years of Business experience
  • Minimum 1 year of Customer Service experience
  • Minimum 1 year of Sales support experience

Nice-to-Haves:

  • Fluency in Spanish
  • Proficiency in SAP and Microsoft Office Suite
  • Ability to work well under pressure and meet deadlines
  • Strong organizational, verbal, and written communication skills
  • Team player attitude with a courteous and friendly demeanor
  • Excellent quality decision-making skills
  • Creative thinking ability

Education: Bachelor's Degree or equivalent work experience
