Overview:

The Scheduling Coordinator is responsible for managing the schedules and appointments within the state you are assigned to. This includes coordinating with clients, families, and clinical staff to schedule appointments, managing the day-to-day scheduling changes to ensure efficient use of time and resources, and handling any schedule changes or conflicts. This role is also responsible for maintaining accurate and up-to-date records of appointments and schedules, in addition to more job duties within the Client Services/Scheduling department.

Responsibilities:

  • Manage client and staff schedules to ensure efficient use of time and resources.
  • Maintain quality customer service and professionalism.
  • Play a vital role in the leadership team in your assigned state, working alongside the clinical team/BCBAs daily.
  • Manage assigned state(s) group scheduling email.
  • Coordinate with clients, families, and clinical staff to schedule appointments, document family/staff vacations or other things that may impact the client's regular schedule.
  • Create ongoing schedules for incoming clients and incoming staff members.
  • Create shadow session schedules for new hires and assist with state licensure applications.
  • Coordinate with the recruiting department and the training department to update hiring needs and schedule shadow sessions.
  • Manage clients and staff on company google map for assigned states.
  • Handle any schedule changes or conflicts as needed.
  • Manage same day scheduling changes/cancellations, communicating effectively and professionally with staff and families.
  • Work frequently with the open hours tracker, training tracker and the recruiting needs tracker to ensure information is up to date.
  • Maintain accurate and up-to-date records of appointments and schedules in CR activity logs.
  • Keep track of staff and client vacations and time off requests, and find solutions to the scheduling gaps/coverage needs.
  • Ensure timelines are met with respect to daily responsibilities and scheduling edits.
  • Daily scheduling changes, daily communication going out.
  • Perform other duties as assigned by your supervisor.
  • Strong multi-tasking skills are required.

Requirements:

  • High school diploma or equivalent
  • Must have worked with Central Reach
  • Must have experience in ABA scheduling
  • Excellent communication and organizational skills
  • Ability to multitask and handle a high volume of requests
  • Proficiency with scheduling and record-keeping software

$20-26/hr based on experience
