Community Concepts is seeking a Program Administrator (per diem, up to 29 hours) to assist in administrating and delivering support for all accessing various supports from the Maine Resiliency Center. The administrator is in a highly visible role and is responsible for ensuring quality customer service, including greeting, welcoming, and directing all visitors; providing service information and referrals to customers, visitors, and staff; responding to and resolving daily issues and emergencies; assistance with management of the center scheduling and service coverage, data tracking, and invoice and expense management. To be successful in this role, a program administrator must have in-depth knowledge of project management disciplines, leadership skills, and decision-making and problem-solving skills. This position requires the utmost professionalism, the ability to cultivate relationships, and the flexibility to adapt to the changing needs and priorities of the Center.

The Maine Resiliency Center was developed in the aftermath of the mass shooting event in Lewiston, ME, on October 25th, 2023. The Center provides resources and support to those impacted by this mass violence event. This position is a temporary position, up to 22 months, with the possibility of an extension.

Essential Duties:

  • Greet customers in person or on the phone in a professional, compassionate, and pleasant manner at all times; take messages and direct all inquiries and/or visitors to the appropriate program/staff.
  • Utilizes a trauma-informed approach in all aspects of work at the Center.
  • Schedule and manage Center meetings and groups, coordinate all ASL and other needed interpreter services, provide relevant preparation materials, and ensure appropriate follow-up.
  • Manage, track, and process the expenditures for the Center and submit to Finance for payment.
  • Coordinate and order food and supplies for the center.
  • Keep current with all program services and activities information; research other available community resources and programs to provide information and referrals as needed and as appropriate.
  • Verifies information given by clients, collects data, performs data entry in designated software, maintains spreadsheets, and prepares and issues assigned reports as indicated by contract requirements.


Desired Qualifications:

  • An associate's degree with a minimum of five years of administration-related experience is preferred.


Other Requirements: Experience working with the general public and understand trauma-informed care. The ability to multi-task. Must have excellent verbal and written communication skills; ability to show patience and empathy; must remain in control in emergency or crisis situations while displaying professionalism and understanding its impact on customer service; proficient computer skills for data accuracy. Pre-employment physical, SBI, DMV, Maine Sex Offender Registry, DHHS, fraud, and federal debarment background checks must be completed upon offer of hire and as a condition of employment; valid and current driver’s license, and travel within the service area is required.
