Job Summary:
A Medical Office Clerk is responsible for supporting the daily operations of a medical office by performing administrative tasks. This role involves managing patient records, scheduling appointments, handling billing, and providing customer service to patients and visitors. The Medical Office Clerk ensures that the office runs efficiently and that patients receive the highest level of service.

Key Responsibilities:

1. Patient Reception and Registration:
   - Greet and check-in patients upon arrival.
   - Collect and verify patient information, including insurance details.
   - Assist patients with completing necessary forms and documentation.

2. Appointment Scheduling:
   - Schedule and confirm patient appointments, both in person and over the phone.
   - Manage the office calendar and coordinate with healthcare providers to ensure optimal scheduling.

3. Records Management:
   - Maintain accurate and up-to-date patient records, both electronic and paper-based.
   - Retrieve and file medical records as needed by healthcare providers.
   - Ensure compliance with privacy laws (e.g., HIPAA) regarding patient information.

4. Billing and Insurance:
   - Prepare and process patient billing and insurance claims.
   - Verify insurance coverage and obtain pre-authorizations when necessary.
   - Address patient inquiries related to billing and insurance.

5. Customer Service:
   - Answer phone calls and direct them to the appropriate department or staff member.
   - Provide information to patients regarding office policies, procedures, and services.
   - Handle patient complaints and concerns, escalating issues as needed.

6. Administrative Support:
   - Order and maintain office supplies.
   - Assist with office correspondence, including emails, letters, and faxing.
   - Support healthcare providers with administrative tasks as needed.

7. Compliance and Reporting:
   - Ensure all office procedures comply with healthcare regulations and standards.
   - Generate and submit reports related to office operations and patient care.

Qualifications:

- High school diploma or equivalent; additional certification in medical office administration is a plus.
- Experience in a medical office or healthcare setting preferred.
- Strong organizational skills and attention to detail.
- Proficiency in office software (e.g., Microsoft Office, electronic health record systems).
- Excellent communication and interpersonal skills.
- Ability to handle sensitive information with confidentiality.
- Familiarity with medical terminology and billing procedures.
