Key Responsibilities
- Maintain awareness of patient locations and assist healthcare team members in locating patients, medical records, and files.
- Manage incoming calls, assisting callers or directing them to the appropriate personnel.
- Initiate the pre-registration process for all patients undergoing Medical Imaging Exams by collecting necessary information and securing signatures.
- Keep the Admitting Office informed of patient census by processing admissions, discharges, and transfers through the computer system.
- Ensure accurate, clear, and current record-keeping, including medication administration records, medical profiles, and patient orders.
- Utilize all relevant computer systems efficiently.
- Coordinate necessary procedures by notifying the appropriate staff.
- Schedule follow-up appointments, obtain physician orders, and manage the transfer of films to other facilities.
- Organize and re-file films, ensuring they are returned to their original locations.
- Conduct inventory checks of supplies and equipment to confirm availability and ensure orders are placed as needed.
- Collect fees associated with copying films and legal case depositions.
- Regularly inspect and discard expired supplies, updating relevant personnel on inventory status.
- Report any malfunctioning or unsafe equipment to the appropriate staff and initiate repair orders as necessary.
- Maintain records related to the release of medical information, film management, and archiving.
- Ensure cleanliness of computer equipment and work areas according to established standards.
- Reconcile reports with exams ordered, including pending procedures and open orders.
- Perform duties during emergency situations (codes, fires, disasters, etc.) and participate in required educational training.
- Assist in orienting new staff to the computer systems and the Patient Service Clerk role.
- Serve as a resource for other staff members, including medical students, residents, and physicians.
- Coordinate the digitization of films and manage printing from PAC systems.
- Rotate to office file storage for bulk film processing, including filing and purging.
- Retrieve files for urgent requests using courier services.
- Manage film disposition and receipt, including archiving mail.
The employee must possess the knowledge and skills necessary to provide appropriate assessment, treatment, or care as defined by the department's patient demographics. Specifically, the employee must demonstrate competency in: 1) obtaining and interpreting information relevant to patient needs; 2) understanding growth and development; and 3) recognizing the range of treatments required by patients.
Competency Requirements
Must demonstrate competency through initial orientation and ongoing validation to independently perform tasks as outlined in the job description and departmental competency checklist.
