Medical Billing Liaison and Patient Success Specialist

Purpose: To provide excellent customer service to patients while performing medical billing and administrative responsibilities to promote smooth work / patient flow within the office / clinic. To become an integral part of the company and promote our mission and vision.

QUALIFICATIONS

Skills

Ability to work in a high volume atmosphere; organize and prioritize multiple tasks and meet deadlines; possess excellent communication and computer skills; and, be able to perform the physical demands of the position which may include sitting for extended periods of time.

Experience

One or two years of experience in a medical office / clinic. Working with patients / families / caregivers to provide superior customer service and patient success.

Other Qualifications

Must be attentive to detail; punctual / timely; able to follow / execute instructions; exude poise, confidence and friendliness; and, enforce accuracy

Essential Job Functions:

Exhibit exceptional ability to communicate effectively with patients, physicians, management and staff

Demonstrate excellent time management skills with the ability to perform multiple tasks simultaneously and meet all deadlines for projects and assignments

Participates in all medical billing accountabilities and front desk administration including but not limited to:

  • Check eligibility and verify insurance benefits prior to patient initial evaluation
  • Obtain referrals and authorizations as required for patient appointments
  • Review monthly patient statements/invoices for accuracy and completeness, and obtain any missing information
  • Perform posting of patient payments
  • Act as billing liaison for adjusted, corrected and/or rebilled claims with outsourced RCM / billing vendor, including researching and appealing denied claims
  • Answer patient or insurance company inquiries pertaining to assigned accounts
  • Establish patient payment plans and manage collection accounts
  • Respond to and manage attorney requests for certified records/bills
  • Work with reception staff to ensure patient communication and satisfaction
  • Answer telephone calls and directs to appropriate person
  • Greet patients, clients and visitors, determines needs and directs them accordingly
  • Process patients at check-in and check out
  • Schedule, confirm, cancel, and reschedule appointments as necessary and communicate with therapists regarding schedule updates to ensure a steady flow of patient activity
  • Answer patient questions and provide information directly or via telephone/internet within the limits of his/her knowledge and medical practice policies. (i.e. bring referral, office visit charge, co-pay, etc.)
  • Process new patients including verifying all paperwork, co-pays and enters information into software system
  • Processes requests for copies of medical records
  • Maintains a clean and friendly work environment
  • Assist the ownership/management in meeting corporate compliance including following guidelines as set for by HIPAA
  • Attend and participate in all staff meetings
  • Specific tasks and other related duties as requested and/or assigned by the Owner and Office/Clinic Manager.

Patient Communication Accountabilities:

  • Greet patients in person and on phone with courtesy, friendliness and professionalism
  • Provide superior customer service to all patients, vendors and physician offices
  • Communicate with patients and staff professionally with empathy/compassion
  • Manage patient processing administrative tasks including, but not limited to: demographic and insurance information intake, appointment scheduling / check ins, email communication / DocuSign, answering phones, scanning documents, as well as daily communication with patients and staff
  • Create and manage reports such as Therapist To Do List and Overdue Patient Report
  • While maintaining strictest confidentiality of medical information by following all HIPAA regulations, verify and update all demographic information and/or medical record
  • Collect patient co-payment/deductible/co-insurance outstanding balances
  • Manage and maintain administrative supply inventory levels and order items accordingly
  • Communicate regularly with outsourced RCM / billing vendor
