This is a rare opportunity for someone with limited work experience looking to get their foot in the door with a prominent Family Office in Beverly Hills.  The position is designed to support a small tight-knit group of accountants and executive staff that are all well equipped to groom the candidate in how to support high-net worth individuals across both business and personal matters. 

The ideal candidate will have a bachelor's degree in accounting and/or finance, which is needed to assist a single-family office that manages multiple entities.  The candidate would work onsite in Beverly Hills and support the CFO, Accounting Manager and Executive Assistant along with administrative support.  Personality is a must as the candidate will interface directly with high-profile individuals from time-to-time.

This is a full-time, salaried position starting in the $80K - $90K range along with great benefits (over $1K per month for medical, dental, vision, life), a 5% employer-match 401K after one year, and subject to a year-end discretionary bonus (up to 5% of salary).  Long-term upside is unlimited.

Provided below is a list of responsibilities the candidate would support...

  • Maintain accurate accounting ledgers (daily) and prepare consolidated financial statements for some taxable entities to substantiate operating activities (monthly and as needed)
  • Gather and investigate invoices for accuracy prior to payment, ensure management review for reasonableness and completion, and ownership approval for all material transactions and ensure proper coding for financial reporting (daily-weekly)
  • Scan and post invoices into accounting software (daily)
  • Create weekly check run packets for management review and signatures before mailing (weekly and as needed)
  • Track costs basis and custody of personal contents, business, and investment assets (monthly and as needed)
  • Track real estate construction and project development costs via budget-to-actual reporting and validate milestones prior to payment to third parties
  • Review the accuracy of month-end checking and credit card account reconciliations (monthly)
  • Open credit cards for new hires and close credit cards for terminated employees (1-3 a month)
  • Instruct new hires and remind staff how to record and report their expenses purchased through company cards (monthly)
  • Review and summarize key elements of material contracts and recommend / implement stronger terms and conditions to ownership and outside parties (as needed)
  • Answering phone calls and supporting Executive Assistant (daily)
  • Bank reconciliations for approximately 25 bank accounts (monthly)
  • Credit card reconciliations for 42 credit cards (daily when closer to month end)
  • Oversee vendor maintenance and evaluation. Making sure to keep track of vendors whose checks we do not mail in the post (weekly)
  • Ordering supplies and coordinating lunch (daily and weekly)
  • Oversee paper filing / electronic storage and ensure completeness of all files and records
  • Documentation of accounting processes / implementation of effective internal controls
  • Recognize and account for personal purchases made by ownership (monthly)
  • Track and report depreciable business property and real estate cost basis / market values
  • Scanning support for all transactions above $500 into the accounting software (daily)
  • General administration support
  • Manage banking relations including all credit card / checking / investments accounts and facilitate new accounts registration and manage ongoing administration.
  • Review the accuracy and coding of all checks prior to signature approval
  • Manage State unemployment and State income tax withholding accounts
  • Acting liaison between ownership and external auditors to help prepare workpapers, obtain auditor requested support, and finalize the annual audit.
