Job Title: Procurement and Inventory Specialist

Job Summary:

The Procurement and Inventory Specialist oversees various administrative tasks including managing customer orders, invoicing, material cycle counts, inventory coordination, supporting purchasing, serving as an internal resource on departmental procedures, and overseeing office operations.

Key Responsibilities:

  1. Inventory Management:
    • Coordinate efforts to manage inventory levels effectively, optimizing stock availability while minimizing excess or obsolete items.
  2. Material Cycle Counts:
    • Conduct regular cycle counts of materials to uphold inventory accuracy and identify any discrepancies for resolution.
  3. Support Purchasing Position:
    • Assist the purchasing department by receiving materials, verifying quantities, and promptly alerting relevant stakeholders in case of inventory stockouts.
  4. Support Customer Service (Orders):
    • Efficiently handle the intake of customers' orders, ensuring accuracy and timeliness in processing.
  5. Invoicing:
    • Process orders promptly and accurately to generate invoices for customers, maintaining records of transactions.
  6. Internal Resource:
    • Serve as a knowledgeable point of contact for administrators and staff, offering guidance and support on departmental and company procedures, particularly in Accounts Receivables and Collections.
  7. Office Operations Oversight:
    • Take charge of overseeing office operations to ensure smooth functioning and adherence to organizational standards and protocols.

Job Qualifications:

  • Education: Associate's degree or equivalent qualification preferred.
  • Experience: 1-2 years of relevant experience in administrative or related roles.
  • Skills:
    • Excellent written and verbal communication skills.
    • Strong attention to detail and accuracy.
    • Ability to multitask and prioritize tasks effectively.
    • Proficiency in administrative and clerical tasks.
    • Service-oriented mindset with a focus on meeting customer needs.
