The Payroll Specialist is responsible for ensuring accurate and timely payroll processing.

Responsibilities

Payroll Management:

  • Administer and process payroll, ensuring employees are paid accurately and on schedule.
  • Update and maintain accurate employee payroll records, including reviewing and approving changes made 
  • Collect and verify timekeeping information for all employees.
  • Review monthly paychecks, manually correcting grant coding and hours not properly exported from the electronic time management system, including accrued time off.
  • Carefully review payroll information prior to submission to ensure accuracy.

Reporting and Compliance:

  • Compile payroll information and prepare accurate monthly, quarterly, and annual reports, including earnings, taxes, deductions, and accruals.
  • Calculate federal, state, and local payroll liabilities.
  • Ensure timely submission of required federal, state, and local reports and taxes.
  • Balance payroll accounts by resolving discrepancies.
  • Complete ACH transactions promptly.

Employee and Management Communication:

  • Resolve payroll-related issues and answer questions.
  • Communicate any material changes affecting employees or management in a timely manner, including sending payroll due date reminders.
  • Ensure the accurate and timely issuance of employee W-2s.

This position requires a high level of accuracy, attention to detail, and the ability to manage multiple tasks effectively.
