Job DescriptionJob DescriptionJob Overview:         
Responsible for general ledger maintenance and financial reporting, including processing and maintaining all subsidiary ledgers. Subsidiary ledgers include, but not limited to, accounts receivable and payable and inventory.
General Accounting Functions:

  • Assures that the books of accounts are properly kept in accordance with generally accepted accounting principles and submits all required financial reports, assuring their accuracy and timeliness
  • Ensures the accuracy and efficiency of all A/R and A/P functions
  • Responsible for maintaining and communicating profit analysis
  • Facilitates cost analysis of all products/systems; identifies profitable choices
  • Prepare month-end and year-end financial information and coordinate year-end data and analysis necessary for outside CPA.
  • Maintaining accurate records
  • Complete monthly cash and credit card reconciliations
Accounts Receivable (A/R) Functions:

  • Establish, set up and maintain Accounts Receivable accounts in Quickbooks
  • Check credit references on Accounts Receivable, coordinating with sales department, and determining credit limit amounts
  • Prepare aging reports and call on past-due accounts to expedite collections
  • Troubleshoot and resolve any discrepancies with A/R payment applications
Inventory Functions:
  • Establish, set up and maintain Inventory in Quickbooks
  • Assist with inventory record keeping as required
  • Assist with inventory costing and development as necessary
  • Coordinate the taking of physical inventory and oversee the reconciliation of the physical-to-book results

Accounts Payable (A/P) Functions:

  • Establish, set up and maintain Accounts Payable accounts in Quickbooks
  • Receive and process A/P direct invoices
  • Oversee payables for accuracy in pricing/terms, banking, interest rates and line of credit
  • Upkeep of accounts payable filing system for all paid and processed invoices
  • Prepare vendor debit memos and other adjusting documents
  • Process credits for returns, ensuring correct credit amounts with vendor and customer if allowed
  • Maintain files on corrections to processed invoices

Additional Functions:

  • Complete customer and vendor tax information forms 
  • Register company for state sales tax when appropriate
  • Files monthly state sales tax
  • Files estimated quarterly taxes, as necessary
  • Assist with office clerical and/or reception work as required
  • Makes recommendations and suggestions that promote continuous improvement
 Requirements:           ·      College degree preferred·      Business office and/or accounting experience Quickbooks (On-line) preferred·      Strong organizational skills with the ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines.·      Exceptional accuracy for data entry and Quickbooks system maintenance·      Good written and verbal communication skills

While performing duties of this job, you could occasionally be required to stand, walk, sit, reach with hands and arms, climb or balance, stoop or kneel, talk and hear, and use fingers and hands to feel objects, tools or controls. Work might entail significant time spent standing, exposure to extreme temperatures, enduring distracting/uncomfortable sounds and noise levels, as well as exposure to potentially hazardous conditions and equipment. Must occasionally lift and/or move up to 50 pounds. Employee may be required to climb stairs as needed to access various areas of the building. Specific vision abilities required include close vision, distance vision, depth perceptions, and the ability to adjust focus. Overtime may be necessary as workloads dictate. This may include weekdays, weekends and/or holidays.
