Illumma, a leading ketamine infusion practice in Austin, Texas, provides relief and offers hope to those who feel lost or are struggling with chronic illness and pain.

We provide cutting-edge care to patients experiencing a variety of treatment-resistant mental health and chronic pain issues. We believe that everyone has a purpose and a mission, and our team strives to help patients reverse course and halt pain, disabling thoughts, and habits with one of today’s most advanced treatments: ketamine infusion therapy.

We are looking to add a part-time Patient Care Coordinator to our practice.

The ideal candidate has a background working in healthcare settings. They would possess a deep well of empathy, compassion, and patience (as this role interacts heavily with vulnerable populations), and they always practice kindness. An interest in mental health and wellness is a must.

Responsibilities and Duties of Patient Care Coordinator

  • Complete opening and closing duties to set the clinic for a successful day

  • Present a customer experience that is easy to understand

  • Act as the face of Illumma by answering inquiries about the clinic via phone, emails, and other platforms

  • Ensure thorough follow-up by tracking patients through the treatment process

  • Collect payments and necessary patient documents

  • Ensure that the clinic is tidy throughout each shift

  • Schedule and arrange appointments based on clinic needs

  • Schedule follow-up appointments/messages

  • Facilitate efficient flow by collaborating with clinical staff

  • Communicate with other clinics to request and obtain necessary information or records in a secure and HIPAA-compliant manner

  • Monitor arrivals and discharge of patients, ensuring patient safety at all times

  • Act as point of contact if the patient had a less than positive experience before escalating to the appropriate chain of command

  • Bring ideas and areas of improvement, including implementation strategies to the leadership team and supervising staff.

 

MINIMUM QUALIFICATIONS:

  • Must have a minimum of one year of customer service experience

  • High school diploma/GED

  • CPR certification required (able to obtain in 90 days)

  • Ability to prioritize multiple tasks at once with excellent attention to detail.

  • Excellent written and verbal communication skills and the ability to communicate effectively

  • Comfortable communicating information over the phone to prospective/current patients

  • Able to operate independently but understand the need for collaboration with the team

  • Adaptable to changes in procedures as the practice grows and expands

  • Interest in mental health and wellness

  • Authorized to work in the United States without sponsorship

PREFERRED QUALIFICATIONS:

  • One year of front desk / clinical receptionist experience

  • Medical Assistance, EMT, or IV experience

  • Experience working with mental health patients

  • Willingness to learn IV removal skills and willingness to assist in collecting patients' vitals

  • Experience with Athena EHR

Job Type: Part-time

Salary: $18.00 - $22.00 per hour

Schedule:

  • 10-hour shift

  • Day shift

  • 2-3 days per week, occasional Saturdays required

    • OR weekends only (Friday, Saturday)

Ability to commute/relocate:

  • Austin, TX 78705: Reliably commute or planning to relocate before starting work (Required)

Education:

  • High school or equivalent (Preferred)

Experience:

  • Medical receptionist: 1 year (Preferred)

  • Customer service: 1 year (Required)
