ROLE OBJECTIVES

The Construction Coordinator / Vendor Specialist’s primary objective is to ensure the seamless and efficient execution of construction projects from inception to completion. Your role will be integral in coordinating various aspects of the construction process, facilitating effective communication between project stakeholders, and maintaining high-quality standards in all deliverables.

RESPONSIBILITIES (DAILY AND MONTHLY)

  • Initiate projects by gathering essential information and coordinate with internal Development and Construction teams to ensure a smooth project start.
  • Develop Preliminary Schedules with internal Construction team to establish a roadmap for timely project completion.
  • Coordinate with internal Permitting and A&E Teams.
  • Monitor A&E for coordination set of plans.
  • Coordinate plan check with A&E Team and Construction Manager.
  • Assist Construction Manager in finalizing and locking in project budgets and schedules, ensuring alignment with Client expectations.
  • Maintain organized and up-to-date project documentation, including schedule, budgets, and open items.
  • Manage Client / Project Trackers.
  • Manage Furniture, Fixtures, and Equipment (FF&E) Process:
    • Load Tracking - Manage vendor capacity to ensure project timelines are met.
    • Relationship Management - Build strong strategic relationships with key vendors to improve performance, capacity, and costs. Serve as the primary point of contact for vendors and resolve issues promptly. Negotiate additional volume discounts. Identify and pursue opportunities for greater partnership and alignment with top vendors.
    • Request for Proposals (RFP) from Vendors
    • Review Proposals with Construction Manager
    • Compare Proposals to Budget
    • Gather Shop Drawings and review with Construction Manager
    • Permits
    • Assist in communication with Vendors
    • Compliance management - Regularly audit and maintain vendor compliance to ensure all Site-work vendors are licensed, bonded, and insured when working on RSI Group projects
    • Process improvement - Develop and maintain automated processes to increase overall efficiency.
    • Invoice Support - Assist accounting and project management team with vendor invoicing follow-ups, distribution, and payment. Collection of Waivers
  • Partner with Construction Manager on Requests for Information (RFI) / Submittals / Change Orders.
  • Issue Notice of Completions.
  • Lead Project Close Out Process with General Contractor and Landlord requirements.
  • Submit requests for Tenant Allowance from Landlords.
  • Assist Construction Managers with Weekly Status Updates.
  • Travel: This role involves occasional travel, both in and out-of-state, based on Client needs and project requirements.

SKILLS AND QUALIFICATIONS

  • Bachelor’s degree in construction management or a related field, preferred
  • 1 to 3 years of experience in project coordination or construction management
  • Communication skills (written and verbal)
  • Construction knowledge and understanding of processes, terminology, job site safety, and industry best practices
  • Limited ability to interpret technical drawings and contracts
  • Project Management skills such as scheduling, budgeting, and resource allocation
  • Strong Time Management skills
  • Problem-Solving - identify and resolve challenges that may arise during the process
  • Proficient in MS Office Word, Excel, and Projects along with learning new programs such as Smartsheets
  • Ability to manage multiple projects simultaneously with a constant eye on quality, schedule, and budget
  • Follow through and accountability
