Job Title: Accounting Specialist

Job Overview

The Accounting Specialist plays a crucial role in ensuring the financial health and integrity of the organization. This position involves handling various accounting tasks, such as accounts payable and receivable, bank and credit card reconciliations, payroll processing, and financial reporting. The Accounting Specialist must have a solid understanding of accounting principles and practices, as well as proficiency in QuickBooks Online and other financial tools. Attention to detail, accuracy, and the ability to work efficiently are essential traits for success in this role. The Accounting Specialist works closely with other members of the management team to maintain accurate financial records, support budgeting and forecasting activities, and provide timely financial information to stakeholders.

Responsibilities and Duties

  • Manage the job costing process, meticulously tracking expenses, labor costs, and materials for each project to ensure accurate financial reporting.
  • Process invoices and ensure timely payments to vendors, maintaining strong vendor relationships.
  • Handle internal team reimbursements on a weekly basis.
  • Process payroll for employees.
  • Calculate quarterly commission payments for project managers/sales.
  • Reconcile bank and credit card statements regularly and monitor cash flow to ensure liquidity and financial stability.
  • Prepare comprehensive financial reports, including profit and loss statements and balance sheets.
  • Responsible for monthly sales and use tax filings, ensuring timely and accurate submission.
  • Assist with year-end audits and tax preparation, providing necessary documentation and support.
  • Prepare and send customer invoices promptly and accurately, maintaining a professional and organized billing process.
  • Manage office mail, scanning, sharing with relevant parties, and filing documents efficiently to ensure smooth operations.
  • Perform other related accounting and administrative tasks as needed, contributing to the overall success of the accounting department.

Qualifications

  • Degree in Accounting, Book keeping, Finance, or a related field preferred.
  • Minimum of 3 years of experience in accounting or a related role.
  • Proficiency in QuickBooks Online and Microsoft Office Suite.
  • Strong understanding of accounting principles and practices.
  • Excellent attention to detail and accuracy.
  • Strong organizational and time management skills.
  • Ability to work independently and as part of a team.
  • Excellent communication and interpersonal skills.
