Job Summary: The Office Transaction Coordinator/Professional Assistant will play a crucial role in ensuring the smooth and efficient processing of transactions within our office. This position requires a keen eye for detail, exceptional multitasking abilities, and a strong proficiency in data entry and file management. The ideal candidate will be comfortable working at a computer for most of the day and will possess excellent organizational skills.

Key Responsibilities:

  • File Management: Maintain and organize transaction files, ensuring all necessary documents are accurately filed and easily accessible.
  • Data Entry: Input and update transaction data into the company's database with precision and attention to detail.
  • Documentation: Prepare, review, and process transaction documents, ensuring compliance with company policies and regulations.
  • Tracking: Monitor the progress of transactions, follow up on pending items, and ensure timely completion of all transaction-related tasks.
  • Communication: Liaise with clients, vendors, and internal team members to coordinate and facilitate transaction processes.
  • Quality Control: Conduct thorough reviews of transaction files to ensure accuracy and completeness.
  • Support: Provide administrative support to the office, including answering phones, responding to emails, and assisting with other clerical tasks as needed.
  • Multitasking: Manage multiple tasks and priorities simultaneously, ensuring deadlines are met and workflows are maintained efficiently.
  • Technology: Utilize various software programs and tools to manage transactions and maintain records.

Qualifications:

  • Proven experience in a similar role, preferably in a real estate, legal, or financial services environment.
  • Exceptional attention to detail and accuracy.
  • Strong multitasking and time management skills.
  • Proficiency in data entry and file management.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software applications.
  • Ability to work independently and as part of a team.
  • High level of integrity and professionalism.

Schedule Requirements:

  • Flexibility to work evenings and weekends on occasion.
  • Availability to accommodate varying work hours to meet client needs.

Preferred Skills:

  • Experience with transaction management software.
  • Knowledge of industry-specific regulations and compliance requirements.
  • Strong problem-solving skills and the ability to adapt to changing priorities.

Applicant must be willing to take Real Estate classes to become a licensed REALTOR® or already have a Real Estate license.
