Office Operations:
- Manage office operations and procedures to ensure organizational effectiveness.
- Coordinate office activities and operations to secure efficiency and compliance with company policies.
- Oversee phone systems, email software licenses, and office supplies inventory.
- Handle scheduling, event planning, employee lunch and coordination of meetings.
Office Maintenance:
- Help coordinate cleaning needs internally and keep the front lobby area and conference room clean and stocked.
- Scanning documents to the company server and to the Accounting Dept.
- Maintain office supplies while staying within a conservative budget.
- Assist with answering phones and distributing mail.
- Communicating with the building management company.
- Provide administrative assistance to management team
Human Resources:
- Oversee human resources functions such as recruitment, onboarding, and employee relations.
- Help work on Employee Handbook
- Coordinate recruitment processes based on hiring needs or plans.
- Develop and implement training programs for staff development.
- Process and maintain sick time, holiday pay, and Leave of Absences accurately and in a timely manner.
- Proactively address employee concerns with department heads and the owner if needed.
- Process accurate and timely weekly payroll with the coordination and support of ADP.
- Process and manage all worker’s compensation claims in accordance with the company’s Return to Work program.
Employee Records:
- Maintain and update employee files, including HR, health, dental, and eye care information with accuracy.
- Prepare and maintain employee new hire packets and ensure the accurate and timely completion of the new hire process and paperwork.
- Ensure background checks are completed before sending welcome letters. Store all records digitally, ensuring the security of these items.
- Manage internal employee achievements (birthdays, anniversaries, gifts, etc.)
