Job Summary

Clark Testing is seeking a Front Desk Receptionist - Administrative Assistant for our corporate office located in Jefferson Hills, PA. In many cases, the Front Desk Receptionist - Administrative Assistant is the first representative of Clark Testing to interact with callers and visitors. We’re looking for an individual with a pleasant and engaging personality who understands the importance of making a positive first impression and is committed to answering incoming phone calls and greeting all guests with a warm, friendly welcome. When the Front Desk Receptionist - Administrative Assistant is not occupied with directing calls and signing-in visitors, they provide support to the CEO, President, Vice Presidents, and various corporate groups as needed.

Primary Duties

  • Follow a.m. checklist for ensuring the front lobby, front desk, and customer lounge areas are clean, neat, and ready to welcome customers and guests.
  • Greet and sign-in all visitors.
  • Notify Clark personnel when their visitor(s) arrive.
  • Answer incoming calls in a professional and timely manner. Direct calls to the correct personnel, department, or laboratory.
  • Provide administrative support to C-level and V-level personnel.
  • Receive and separate mail by personnel, department, or laboratory.
  • Restock office and kitchen supplies when running low and maintain list for ordering/replenishing.
  • Follow p.m. check list to ensure office and kitchen appliances are turned off and front desk computer is logged-off and restarted.

Other Responsibilities

  • Provide administrative support to corporate groups:
    • Accounting Dept.
      • Assist Accounting Specialist with daily banking duties.
      • Assist with book-keeping tasks in QuickBooks system including Accounts Payable & Accounts Receivable entry.
      • Filing.
    • Human Resources Dept.
      • Maintain and uphold employee confidence and protect operations by keeping human resource information confidential.
      • Assist with coordinating HR-related programs and special events.
      • Upload required documentation and assist in maintaining employee personnel records.
      • Filing.
    • Sales & Marketing Dept.
      • Assist with organizing travel arrangements for various events and trade shows.
      • Assist with coordinating and setting up sales-related programs and events.

Qualifications & Competency Requirements

  • High School Diploma or GED is required.
  • Associate Degree in business or another related field is preferred.
  • 2 years’ experience in a Receptionist/Administrative Assistant/Office Support role is a plus.
  • Courteous and friendly communications skills are essential for success in this role.
  • Capable of handling multiple tasks concurrently with ease and professionalism.
  • Strong organizational skills and attention to detail are a must.
  • Experience with Microsoft Office Applications (Word, Excel, Teams, and PowerPoint).
  • Experience with QuickBooks or similar ERP / Accounting System.
  • Must be committed to exercising safe work habits at all times.
  • Available to work a Monday - Friday, 7:15 a.m. to 4:00 p.m. schedule but willing to occasionally work off-shift hours or overtime when special circumstances occur and may require it.
  • Able to lift, carry, move, and transport objects of up to 40 lbs.
  • Must be able to pass drug screening and background checks.
  • Must have reliable transportation/be able to manage the daily commute to the office.

This is a Non-exempt, hourly position. Upon successful completion of Clark Testing's introductory review period, eligibility for benefits may include medical, dental, vision, life and disability insurance, employee assistance program, 401(K) plan with discretionary employer match, paid time off, and paid holidays.
