Position: Administrative Assistant 

Department: Administration 

Reports to: Human Resources 

Schedule: Temp-to-Hire, Monday through Friday

FLSA Classification: Non-Exempt (Part-Time) 

 

Objective 

The Administrative Assistant is responsible for day-to-day duties, office and clerical tasks. This position will also provide support to our management team, assisting in creating presentations, managing our company’s general administrative activities, and researching sales platforms to help the team organize customer retention.

Essential Functions 

  • Answer and direct phone calls. 
  • Distribute email, correspondence memos, letters, and forms. 
  •  Assist in the preparation of regularly scheduled reports
  • Assist human resource with office based tasks
  • Assisting in AR and AP duties
  • Develop and maintain a filing system. 
  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
  • Maintain contact lists. 
  • Maintain an organized, clean office environment. 
  • Research and create presentations. 
  • Research sales platforms to help the team organize customer retention.
  •  Take accurate meeting minutes. 
  • Other duties as assigned. 

Education/Experience 

  • High School diploma or equivalent. 
  • Associates Degree a plus. 
  • Prior administrative experience in an office setting
  • Experience tailoring administrative support to business needs
  • Familiarity with senior management support 
  • Basic understanding of Human Resources practices
  • Exposure to Accounts Receivable and Accounts Payable 
  • Previous experience in a sales environment 

 

 

Knowledge/Skill/Ability: 

 

  • Demonstrated leadership in previous roles Knowledge of office management systems and procedures. 
  • Working knowledge of office equipment, i.e. printers, IOS,Windows 
  • Proficiency in Google Suite (Docs, Sheets and Sites). 
  • Excellent time management skills and the ability to prioritize work and multitask. 
  •  Attention to detail and problem solving skills. 
  • Excellent written and verbal communication skills. 
  • Comfortable handling confidential information. 
  • Must have reliable transportation - travel may be required within the Phoenix
  • and Tuscan area (mileage reimbursement provided).
