Overview:

We are seeking a proactive and detail-oriented Marketing and Events Coordinator to join our team. This role is ideal for someone with strong organizational and interpersonal skills, who is adept at managing multiple facets of marketing and event coordination, particularly within the healthcare sector. This role offers a dynamic work environment and the opportunity to significantly contribute to the success of our prestigious conferences.

 

Key Responsibilities:

- Develop and oversee direct marketing campaigns targeting neurologists across California for our two major annual CNS conferences, and expand these initiatives to a national level, including reaching out to neurology state societies and practicing neurologists nationwide.

- Maintain and update comprehensive contact lists for neurology physicians, both within California and nationally.

- Manage direct marketing efforts to attract potential exhibitors for our annual conferences, ensuring timely and consistent communication.

- Keep an updated and active exhibitor contact list and help to expedite all communications with potential and registered exhibitors.

- Conduct research of hotel conference locations for potential meeting venues, communicate CNS conference space and accommodation needs, obtain a proposal from each venue

 - Assist presenting different venue proposals to program committee/ create comparison charts

- monitor timing of contractual agreements between program committee and chosen venue

- Assist with hotel logistics: meal and menu selections, activities, online registration information, specific conference guest needs

-Facilitate effective communication between the program committee and exhibitors, enhancing exhibitor relationships and encouraging their continued participation.

- Assist registered exhibitors with conference venue logistics; be point person for troubleshooting at the conference and between conferences; engage personally with exhibitors at conferences inviting their return to future conferences

- Coordinate with the Program Committee Chair to manage communications with speakers regarding their schedules, travel arrangements, and accommodations.

- Support the CME Compliance Officer in managing communications related to compliance and CME accreditation.

- Follow current conference agenda, manage content updates for the conference website including speaker bios, and ensure all logistical details are communicated clearly to Online Logistics Specialist to post on the conference website.

- Assist in managing on-site conference needs such as attendee badges, registration, and exhibition logistics. Assist meeting moderator with timekeeping/ speaker schedule.

- Manage conference attendee feedback to share with program and membership committees with the aim to continuously improve the conference experience.

- Report hours and email-copy all online work communications/activities to Operations Officer.

 

Qualifications:

- Exceptional organizational and communication skills.

- Experience in event planning and marketing, particularly within the healthcare or related sectors.

- Ability to multitask and manage multiple projects simultaneously.

- Strong problem-solving skills and attention to detail.
