Job DescriptionJob Description

We are seeking an experienced Administrative Assistant to support our executives. The primary qualifications needed for this are:

• Great customer service skills

• Ability to multi-task

• Team player

• Ability to be proactive and anticipate the needs of others

Specifics: This person will be working closely with our executives and team to provide administrative support.

Duties include the following:

• Entering time into billing system, expense reporting.

• Triaging phone calls and routing them to the appropriate people in the organization so that this executives are managing time appropriately.

• Handling emails from clients and staff.

• Scheduling meetings, managing calendars.

• It is a plus if you have some knowledge and understanding of financial and tax practices.

The additional balance of your time will be spent supporting the work of our administrative and financial team.

Some of these duties will include:

o Preparing reports, expense reporting and other documents.

o Answering phones, transferring calls and taking messages.

Learning and using the variety of software utilized in a financial firm.

Requirements:

• Work experience as an administrative assistant or similar role.

• Excellent MS office knowledge.

• Ability to learn new software.

• Outstanding organizational and time management skills,

• Excellent verbal and written communication skills.

• Great discretion and confidentiality.

• Upbeat, positive demeanor with a sense of urgency.

• Ability to gain knowledge about clients and other staff, and able to use that in making decisions and anticipating and giving personalized support to help the team to reach their goals.#5470
