POSITION SUMMARY: Under the direction of the VP, Housing, Shelter & FTS and EVP/COO, the AVP-FTS oversees a team of 25-30 employees, vendors, and subcontractors reporting directly to the VP-Housing, Shelter & FTS. The AVP-FTS is tasked with empowering staff in supervisory-level positions by providing direction and support. The AVP-FTS is responsible for ensuring that their team members understand the mission and values of VIP, as well as promote diversity, equity, and inclusion through all efforts.

 

 

GENERAL DUTIES

 

Organize and lead weekly meetings with supervisory-level staff to offer guidance, gather updates, and fill them in on any pertinent VIP developments which effectively enables them to perform their duties.

Assess and identify pressing departmental concerns and desires agency-wide and formulate strategies for achieving determined objectives.

Work collaboratively and directly with department heads to build and maintain strong working relationships, including an open line of communications.

Attend all scheduled VIP meetings (Operations, Environmental Care, HR, etc.) and be prepared to provide up to date information on open projects or new initiatives that may impact the workflow.

Conduct daily walk-throughs of the various properties to ensure physical assets are in the best possible operating condition.

Respond rapidly to any operational issues uncovered during property inspections.

Manages preventive and predictive maintenance, repair, and construction work to sustain safe and reliable operations.

Ensure direct reports are provided with weekly/bi-weekly supervision, documenting successes, challenges, and training & development needs.

Give recognition for satisfactory performance and effectively provide constructive feedback including counseling deficient performance.

Oversee operations purchasing and inventory across the portfolio, establishing a healthy working relationship with VIP’s procurement department.

FACILITIES MANAGEMENT

 

Safety and Functionality: Ensure the safety, functionality, and proper maintenance of facilities, including buildings, grounds, and infrastructure.

Team Management: Supervise facilities staff to maintain high standards of safety and cleanliness.

Strategic Alignment: Align facilities management practices with VIP’s overall goals and objectives.

Space Management: Oversee space allocation, utilization, and optimization within the organization.

Utilities and Infrastructure: Understand utilities and their interrelationships across the portfolio.

Compliance: Ensure adherence to state and federal healthcare protocols across the entire facility. Evaluate metrics from individual healthcare departments to identify opportunities for improvement.

TRANSPORTATION

 

Parking and Transportation: Advocate for efficient transportation solutions, manage parking facilities, and enhance transportation options for clients, and staff.

Collaboration on Safety: Collaborate on initiatives that promote safety, including monitoring drivers, traffic safety, and emergency response.

SECURITY

 

Information Security:  Develop and implement information security standards and procedures. Provide training to employees on security policies.

Disaster and Business Continuity Planning: Collaborate with key VIP personnel to create and implement disaster recovery, business continuity, and backup plans for information systems.

 

PHYSICAL SECURITY

 

Ensure physical security measures are in place to protect people, assets, and facilities.

Other duties as assigned to meet the needs of VIP.

 

 

Requirements

Bachelor’s Degree in related field with a minimum of 5 years’ experience in facilities/maintenance operations.

Minimum of 3 years’ experience managing portfolios in the healthcare industry (FQHC, Health Home, etc.).

Ability to read and understand blueprints, floor plans, CAD drawings and other schematics.

Ability to communicate effectively both orally and in writing.

Ability to be flexible, prioritize and manage multiple projects, as well as solve problems in a timely manner.

Available to be on-call to respond to emergencies 24/7 days per week.

Proficient in the use of computers and programs such as Microsoft Excel, Word, and Access and other programs applicable to the AVP role.

Knowledge of. Building & Vehicle Mechanics

Current NYS Driver’s License.
