Essential Duties and Responsibilities
- Assisting with duties such as organizing, filing, photocopying, faxing, etc.
- Address tenant/applicant inquires via email, phone, paper mail, etc.
- Communicate with both internal and external parties with the utmost customer service.
- Technologically savvy and familiar with Outlook, Microsoft Office, Slack
- Ability to maintain confidentiality when dealing with sensitive information.
- Responsible for maintaining paper and electronic records.
- Monitoring Re-rentals email
- Sending notices for units on Master waiting list, monitoring responses
- Printing all documents sent in by applicants to process
- Sending notices on HC, keeping track of responses
- Sending out all formal rejection letters and scanning all rejection files to folder
- Print all appeals, scan, and send for review
- Enter all new transfer request, examine list, and provide status update to tenants’ inquiries
- Review all reasonable accommodations and reach out to tenants when necessary
- Scanning all lease transfer request, name change to Que in Re-rental folders
- Review, complete and send out mail merge when necessary
- Purge Master waiting list every once yearly to determine applicants interest in housing
- Assist Coordinators in translating on scheduled HPD interviews or phone calls when necessary
- Attend to tenants’ inquiries at front reception
- In charge of answering applicants/tenants calls and providing assistance
- Downloading applications from website
- Ability to provide support with special projects or providing extra support colleagues as needed.
Required Knowledge, Skills, and Abilities
- Must be proficient in reading and writing in Spanish
- Ability to work effectively with minimum supervision in a fast-paced, high-volume office and appropriately set priorities and exercise independent judgment while also accepting Supervisor guidance.
- Strong interpersonal, customer service and communication skills
- Must be proficient in all aspects of Microsoft Office.
- Ability to multitask.
