Job Summary

The Bookkeeper will be primarily responsible for entering, processing, and batching vendor invoices for all assigned properties under management.  Additionally, the Bookkeeper will be responsible for maintaining all vendor records including W9’s, certificates of insurance, and contact information.

 

Summary of Essential Job Functions:

·         Weekly Responsibilities

o   Receive and organize appropriately approved and coded invoices from property manager, controller, or management.

o   Review coding for accuracy and ensure approval.  Communicate any deficiencies.

o   Timely enter all invoices into Accounts Payable software and print checks.

o   Organize all checks including invoices copies in paper an electronic format.

o   Obtain signatures from EVP, and mail check copies with any required documentation.

o   Prepare interim bank reconciliations for each bank account as needed.

·         Monthly Responsibilities

o   Review all vendor COI’s and W9’s for compliance.  Timely obtain updated information as necessary.

o   Reconcile bank accounts as needed.

o   Assist Controller in rolling forward monthly balance sheet reconciliations as needed.

o   Ensure paper check copies and backup are properly organized and filed according to accounting policy.

o   Prepare monthly billing for BBDM reimbursable from properties

o   Process Sales Tax Filing online

·         Annual Responsibilities

o   Assist in preparing workpapers for 1099 filing.

o   Assist in filing and saving 1099’s electronically.

o   Assist in entering budgets to accounting system as needed.

·         Other Responsibilities

o   Serve as point of contact for vendors.  Must have the ability to timely research vendor questions and provide adequate answers.

o   General administrative duties as needed.

o   Assist Controller as needed.

 

Minimum Requirements

·         Basic computer skills including general proficiency with MS Excel and Windows.

·         General experience in Bookkeeping/AP.

·         Able to speak professionally to clients and vendors.

·         Comfortable in a fast-paced environment and willing to assist in other areas as needed.
