Summary/Objective:

The Accounting Assistant is responsible for assisting the team with day-to-day accounting practices. This includes Accounts Receivable, Accounts Payable, Payroll, Expense Accounts, Bank/Cash Management, Purchase Orders, and certain aspects of Inventory, Supplies, and Organization. In addition, they will assist the accounting and finance team with data collection for audits, corporate reconciliation requests, and certain reports necessary to complete the month-end close process. They will also assist with office administrative tasks while in office M-W.

Essential Functions

  • Accurately process timely payment of all incoming invoices with NetSuite.  
  • Verify vendor invoices for accuracy and correct documentation and apply accurate GL coding to NetSuite payables system.
  • Verify Procurement Purchase Orders are received for invoice processing, assist in PO’s research/tracking reports/communication with team members.
  • Oversee the invoice, receiving (mail, email etc.) and routing process.
  • Assist in weekly check runs.
  • Initiate payments via EFT, ACH and credit card per approved Requisitions.
  • Research and resolve invoice issues and discrepancies. 
  • Maintain accurate and up-to-date files for all invoices. 
  • Maintain the vendor master file, including tax ID numbers of applicable vendors.
  • Ensure compliance with federal 1099 reporting regulations.
  • Assist with month-end close, preparation of account reconciliations, reclass payables. 
  • Ad-hoc projects and analysis as necessary.  
  • Addresses vendor inquiries. Communicates with vendors and internal customers to resolve billing and expense discrepancies.
  • Assists with monthly and year-end close deliverables.

Work Environment

  • Office Environment. Hybrid position based out of our Alpharetta office (MTW)


Physical Demands

  • Sitting for long periods of time.


Position Type/Expected Hours of Work

  • Full-time, 40 hours per week.


Required Education and Experience

  • Bachelor’s degree in accounting or comparable work experience. (nice to have)
  • 1-2 years of accounting experience
