Job Description: We are currently seeking a competent and organized Office Administrator to join our team. The ideal candidate will be responsible for managing office operations efficiently, handling administrative tasks, and providing excellent support to our legal team. This is a full-time, in-person position requiring meticulous attention to detail and excellent communication skills.

Responsibilities:

  • Manage and maintain office supplies and equipment inventory.
  • Handle incoming calls, emails, and inquiries promptly and professionally.
  • Greet clients and visitors in a friendly and welcoming manner.
  • Assist with scheduling appointments, meetings, and conference calls.
  • Maintain and update client files, databases, and records accurately.
  • Prepare and distribute correspondence, documents, and reports.
  • Assist with basic accounting tasks such as invoicing and expense tracking.
  • Collaborate with attorneys and staff to ensure smooth office operations.
  • Perform general clerical duties including photocopying, scanning, and filing.

Requirements:

  • Proven experience as an office administrator, administrative assistant, or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office software.
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Excellent verbal and written communication skills.
  • Detail-oriented with a high level of accuracy in data entry and record-keeping.
  • Ability to maintain confidentiality and handle sensitive information discreetly.
  • Friendly and professional demeanor with exceptional customer service skills.
  • Knowledge of legal terminology and procedures is a plus but not required.
