Location: Ocala, FL
Pay: $17-$18/hr
Work Schedule: Mondays: 7:00am-5:00pm; Tuesday-Friday: 8:00am-5:00pm

Position Overview: As a Receptionist/Accounting Clerk, you will play a crucial role in creating a welcoming environment for our visitors and providing vital support to our accounting team. The ideal candidate will combine professionalism with a "can do" attitude, adeptly interacting with employees, vendors, and customers from various backgrounds and cultures. This role requires a blend of excellent communication, organizational skills, and a proactive approach.
Key Responsibilities:
Receptionist Duties:
- Greet and direct visitors, creating a welcoming atmosphere.
- Assist visitors and address their needs.
- Answer and route incoming calls, take messages, and communicate effectively.
- Maintain the front office area and lobby''s cleanliness and organization.
- Order and manage office supplies for the front office and plant floor managers.
- Maintain office and kitchen supply storage areas, ensuring accessibility and organization.
- Manage front office kitchen, including stocking supplies and maintaining cleanliness.
- Prepare mailings and assist with various tasks as needed.
- Alert departments/managers about employee absences.
- Ensure the front office complies with company safety rules.
- Provide administrative support to other departments as needed.
- Offer front desk support to HR during new hire orientations.
- Handle outgoing and incoming mail.
- Perform basic data entry and operate office machines.
Accounting Support Duties:
- Enter Accounts Payable invoices into Scanman software.
- Monitor and forward incoming invoices, ensuring accurate distribution.
- Research and request missing invoices from vendor statements.
- Contact vendors with updated payment information.
- Assist with accounting functions and vendor inquiries as needed.
Requirements/Qualifications:
- 1+ year of experience as a Receptionist
- 1+ year of experience as an Accounting Clerk or related accounting experience.
- Proficiency in Microsoft Office programs.
- Strong typing skills.
- Excellent customer support skills with a friendly, prompt, and professional demeanor.
- Experience with multi-line phone systems and solid phone handling etiquette.
- Strong administrative experience with effective communication skills.
- Ability to multitask, prioritize assignments, and adapt to change.
- Well-organized, detail-oriented, and able to work both independently and as part of a team.
- Ability to maintain composure in a high-pressure, fast-paced environment.
- Strong interpersonal skills to relate to diverse backgrounds and personalities.
