POSITION SUMMARY:

Erikson Institute is seeking a Board Affairs and Contracts Administrator (BACA) to work closely with the General Counsel and Corporate Secretary to help plan and administer Board-related activities, such as Board and Committee meetings, surveys, communications and help in the planning, coordination and execution of disseminating Board materials.

Provide institutional support to facilitate the centralization of review, execution and record-keeping of all types of agreements. Working closely with administrative personnel and internal teams including, not limited to, Institutional Advancement, the Board Affairs and Contracts Administrator will be responsible for coordinating across departments to ensure all activities are effectively administered and in compliance with governance requirements as well as Erikson Institute policies.

PRINCIPAL DUTIES:

1. Board Affairs

  • Under the direction of the General Counsel and in collaboration with the Office of the President, manage Trustee relations and communications related to Board and Committee matters and activities. Serve as a liaison and ensure that all trustee communications are appropriate, accurate and prompt.
  • Manage and maintain responsibility for the Board portal including managing and updating board materials, the calendar for Trustee and Committee meetings--development, dissemination, etc. Provide support to internal staff and Board members on the Board portal as needed.
  • Keep Board portal including Trustee directory, committee lists and other information updated. Prepare and facilitate communications through the electronic Board Portal as well as by email and phone.
  • Prepare and disseminate physical copies of Board and Committee meeting materials as needed.
  • In collaboration with the Office of the President and other colleagues, develop agendas for Board Committees as well as Board meetings.
  • Support preparations for Committee and Board meetings, including attending Trustee Committee and Board meetings, help facilitate the video conference meeting, manage the slide presentation, and take minutes as needed.

2. Contract Administration

  • Under the direction of the VP/CFO and General Counsel, facilitate the execution of all agreements, such as grant and contract agreements, sub-awards, subcontracts, and consulting agreements.
  • Maintain up-to-date and accurate electronic records of all pertinent grant and contract agreements.
  • Process, obtain approval, and maintain records of contracts.
  • Help develop standardized agreements or templates, including NDAs, policies and procedures for coordination of internal contract requests, review and approvals.
  • Identify and help improve operational efficiencies, decrease turnaround times, streamline processes, and works cooperatively and jointly to provide quality customer service.
  • Coordinate, attend, and participate in meetings related to contract administration and -related topics.
  • Maintain contract management databases.
  • Generate and customize reports that highlight key data.
  • Implement and utilize electronic signatures for contracts using e-signature tools.

  • 3. Administrative and Other Support
  • Provide additional support to Office of the President, VP/CFO, and General Counsel as needed from time to time.
  • Support organizing and planning for internal meetings, projects and events as needed.
  • Process invoices and expense reimbursement requests.
  • Performs other duties as assigned.

IV. SOFTWARE COMPETENCIES: Strong Microsoft Office Skills including Word, Outlook, Excel, and PowerPoint and related office program and applications. Proficient with or readily able to become proficient with BoardEffect, Laserfiche, Financial Edge.


V. REQUIRED SKILLS AND QUALIFICATIONS

Bachelor’s degree in relevant field such as legal or paralegal studies, accounting, business administration or other related areas.

  • At least 3 years of experience in board administration, executive support, contract administration, project management, or relevant field.
  • Understanding of the fundamentals of board governance and knowledge of requirements of contracts and agreements.
  • Strong organizational and project management skills with the ability to prioritize tasks, engage and communicate with stake holders to work within strict time and budget constraints and meet deadlines.
  • Highly organized with meticulous attention to detail.
  • The ability to multi-task, provide effective follow-up with internal staff and external Stakeholders.
  • Must be a discreet, tactful and diplomatic individual who possesses the ability to work well with internal staff, faculty, Board members, third parties and outside vendors.
  • Demonstrated experience and capability for handling confidential materials and sensitive information with discretion.
  • Excellent written and verbal communication skills and professional, collaborative work style.
  • Ability to work both independently and collaboratively in a cross-department and cross-functional role
  • Unwavering integrity, ethics and high moral character.
